POSITION SUMMARY | Under the direction of the Sr. Associate Athletic Director, Facilities and Operations, the Director of Athletic Grounds will oversee the maintenance of UCLA Athletics' competition and practice fields, grounds, and venues. This includes managing turf, equipment, and facility upkeep to ensure optimal performance, safety, and appearance. The role will serve as the primary grounds manager for Spaulding Field, working closely with staff, coaches, and administration to maintain a top-tier playing surface. The Director will oversee a team of five members; with two direct reports and collaborate across multiple departments to ensure compliance with industry standards. The position will have indirect oversight of multiple venues, including Jackie Robinson Baseball Stadium (main field and practice infield), Easton Softball Stadium, Annenberg Soccer Stadium, and Drake Stadium, while also contributing to project development and overall program consultation. | | | |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Supervise Turf and Grounds Maintenance | • Plan, prioritize, and complete tasks and projects that have been approved by the administration. Establish a method of completion and maximize the utilization of materials and personnel. Supervise and participate in the specialized maintenance of the turf and landscape at all Athletic practice and competition venues. Supervise all activities including irrigation, overseeding, pruning, sodding, fertilization, mowing, painting, field/game preparation, installations, and repairs, as well as restoration of the fields. Supervise the maintenance of the surrounding hardscape and landscape areas and coordinate any needed repairs with the appropriate campus or third-party vendors. | 25% | Supervise Turf and Grounds Maintenance | • Responsible for the planning and organizing of maintenance and special projects to ensure desired results. Plan, prioritize, and schedule work assignments on a daily basis. Attend regular staff meetings with coaching staff & administration to update the work calendar, plan equipment, and workload allocations, and share information with the entire staff. Maintain continual contact with coaches to monitor workout schedules and field needs. • Work closely with campus recreation facilities & grounds staff to ensure shared venues are maintained to the best degree possible by consulting with and recommending a field maintenance plan benefiting both recreation and athletics. • Formulate, monitor, and manage the preventative maintenance programs for all fields. | 0% | Supervise Turf and Grounds Maintenance | • Provide cost estimates, recommendations, and staffing for events. • Responsible for supervision, scheduling, and evaluation of refuse removal and equipment maintenance contractors. • Check schedules and calendars daily to determine responsibilities and work assignments. | 0% | Property and Inventory Management | • Oversee, maintain, and repair fixtures, machines, and equipment purchased and utilized by the department. • Responsible for the specification, installation, and maintenance scheduling (daily and periodic) of all equipment. • Responsible for the reconciliation of the area inventory control program of all fixtures, machines, parts and consumables. • Coordinate and complete the proper paperwork for the ordering and receiving of inventorial equipment and supplies following established departmental and University policies and procedures. | 20% | Special Projects | • Responsible for the timely completion of special maintenance tasks or projects (i.e. field restorations, enhanced maintenance projects, etc.). • Responsible for the preparation of short- and long-term goals for the turf area. Develop a viable plan ensuring that the department's goals are met and that maintenance and repairs throughout the venues are completed. • Prepare proposals for contemporary facility and turf maintenance, and analyze operations and equipment usage to maximize efficiency. Ensure proper training on all equipment for all staff members using the equipment. Estimate special project costs including materials, equipment, and labor for the department. | 20% | Special Projects | • Coordinate and manage the work of contractors and outside vendors on projects from concept to completion. • Respond to special requests and projects coordinated through the Sr. Associate Athletic Director and assign appropriate resources for completion. | 0% | Budget and Record keeping | • Participate in the preparation and monitoring of annual budgets, ledgers, and capital planning. • Assist in the reconciliation of monthly statements regarding expenditures against funding sources. • Prepare proposals for annual maintenance tailored to each facility with cost estimates, schedules, and possible contingency plans. • Establish budgets and timetables for projects and be responsible for the completion of the project within the timeframe and budget. • Ensure that all construction documents are updated as projects and renovations are completed. • Maintain files on all equipment maintenance, usage, and accidents. | 20% | Human Resources & Other Duties | • Oversee and lead efforts for the staff to efficiently plan, prioritize, and schedule work assignments on a daily basis. • Assist in the evaluation of area employee's performance and set performance goals on an annual basis.
