POSITION SUMMARY | As a member of the BSCRC's frontline fundraising team, the Associate Director of Development works with both major gift and annual donors to elevate the philanthropic profile and programs of the BSCRC. Under the direction of the Director of Development, you will support a comprehensive development program through identifying new prospective donors, managing a portfolio of current and/or lapsed donors, and creating and implementing individualized cultivation, solicitation, and stewardship strategies. Responsibilities include creating development communication pieces and generating customized written reports to effectively describe the impact of the Center's research to cultivate long-term relationships and renew/increase philanthropic support. The ability to write effectively and distill complex scientific concepts into compelling, lay language for the BSCRC's donors is critical. Additionally, you will be responsible for developing and executing a variety of donor events and will be a strong contributor to the broader mission of the BSCRC office and External Affairs enterprise. This position directly interfaces with donors, faculty, staff, community leaders, and volunteers. Develop and implement strategies for identification, cultivation, and solicitation for individual donors, corporations, and foundations. (E) 2. Develop long-range, comprehensive prospect strategies and timetables for a designated portfolio of individuals and organizations, taking advantage of broader cultivation and stewardship opportunities when appropriate. (E) 3. Create a pipeline of prospects for major gifts and maintain active awareness of individuals in prospect pool at various stages of identification, cultivation, solicitation, and stewardship. (E) 4. Explore opportunities for engaging, cultivating, and soliciting new audiences; plan/implement cultivation activities to broaden base of support. (E) 5. Create/implement strategies to increase participation of new donors; encourage current/past donors to renew at greater levels. (E) 6. Use and analyze available data to develop portfolio and identify prospects in relation to Center priorities; work with the Director of Development to appropriately assign and manage newly identified prospects. In consultation with the Director of Development, prepare or direct the preparation of written proposals, gift agreements, case statements, and/or other special materials for use in specific solicitations. (E) 8. Effectively move donors from cultivation to solicitation and participate directly in soliciting annual and major gifts; secure funding from current or lapsed donors. Participate in additional donor/prospect solicitations, cultivation, and stewardship with the Director of Development as appropriate. (E) 9. Arrange appropriate opportunities for the BSCRC Director, faculty members, staff, and/or trainees to meet with prospects and donors to increase interest in and support of the BSCRC. (E) 10. Conduct personal visits with prospects and donors. Work with the Director of Development, Center administration, and/or Director to prepare for, manage, and confirm details of meetings with donors. (E) 11. Adhere to the policies and procedures of the University related to solicitation and contact with donors and in accordance with HIPAA regulations. (E) 12. In collaboration with the Director of Development and other team members, lead a comprehensive donor acknowledgement program for the BSCRC including managing procedures for accurate and timely acknowledgement of gifts and completing gift reports as required. Work with the Director of Development and other team members to devise and implement individualized stewardship plans for donors, and to assure regular contact with donors through annual reports, acknowledgements, and various stewardship and cultivation activities and events. (E) 3. Maintain annual calendar for BSCRC’s stewardship program, including creating agendas, goals, and timelines for individual stewardship activities. (E) 4. Proactively identify opportunities where reports are needed, as well as respond to requests for reports from colleagues within BSCRC and External Affairs. Work in coordination with BSCRC research administration and finance to execute deliverables for private foundation grant sponsors. (E) 5. In collaboration with the Director of Development, create innovative materials for donors’ giving milestones/anniversaries such as 5-year or 10-year retrospectives that promote meaningful stewardship touchpoints and donor engagement. (E) 6. Keep up-to-date with BSCRC’s strategic and fundraising priorities, closely monitor BSCRC news and scientific breakthroughs to identify opportunities for use in stewardship, and develop content. (E) 7. Serve as lead writer for annual Endowment in Action Reports, led by External Affairs, writing narratives describing the impact of endowments at the BSCRC. (E) 8. Create annual fund and special project appeal and stewardship letters. (E) 9. Utilize research tools to gather relevant details of high-level prospects and/or donors that can be used for donor communications, meetings, and presentations. (E) 10. Maintain a working knowledge of UCLA brand guidelines and BSCRC’s style guide. (E) 11. Maintain a working knowledge of UCLA fund management and endowed fund policies and practices to ensure compliance with campus policies and donor gift agreements. (E) 12. Provide excellent customer service to donors in an effort to inspire donor confidence and increase donor satisfaction and retention. (E) 13. Participate in the coordination and implementation of appropriate publicity of major gifts and donors within BSCRC, Health Sciences, and university publications and media. (E) 14. Work collaboratively with External Affairs to ensure consistency of donor relations and stewardship efforts for BSCRC donors within the greater UCLA campus and Health System. (E) 15. Establish and maintain cooperative working relationships with appropriate individual development officers, External Affairs staff, and other team members in the Center and across campus to further the planning and coordination efforts for donor acquisition, upgrade, retention, and renewal. Maintain accuracy of donor records through prompt and efficient filing of contact reports and updating of donor files. (E) 9. Track reporting requirements for gifts and work with the Director of Development, staff, and faculty to ensure all donor reports are submitted per deadlines. (E) 10.
