SUPERVISION - Indicates that the incumbent performs a variety of routine duties within established policies and procedures or by referral to the supervisor’s guidelines.


POSITION SUMMARY

Under the general supervision of the Associate Director of Student Affairs, incumbent will support a variety of Summer Sessions-led credit-bearing programs designed for visiting high school students to supplement and enhance the overall UCLA precollege experience. Working in conjunction with the Summer Sessions Student Affairs and Analyst teams, incumbent ensures effective and efficient delivery of student services that meet a variety of the demands and expectations of diverse constituencies of the campus, and ensures student compliance with all relevant UCLA academic and behavioral standards. Implements and supports policies and training programs for precollege residential and program staff and ensure the safe arrival and supervision of participants in precollege programs. Addresses discipline and safety issues following protocols based on the Student Conduct Code, Residential Life rules and regulations, and Summer Sessions policies and standards. Leads student misconduct and other incident investigations and reviews judicial affairs data in order to make recommendations regarding disciplinary actions and other penalties as necessary. Responsibilities require an ability to work independently and collegially, and a willingness to serve a diverse population of students, academic departments, and other campus units. Assists with program and student emergencies, particularly for those living in residence halls as part of their summer programming, requiring schedule flexibility. Serves as a liaison with other campus and external units such as individual academic departments, Conference Services, the Ashe Health Center, Office of Residential Life, and Housing Services, among others, as needed. Assesses the delivery of student services and make recommendations for improvement. Also provides customer service, programmatic, and general/overall support for the Office of Summer Sessions.

A-1. Skill in interacting with individuals from various social, cultural, economic, educational backgrounds, and professional rank in high volume, continuous contact setting to establish and maintain cooperative working relationships.

A-2. Work with staff to monitor and update information on all summer offerings for both UCLA and non-UC visiting student populations.

A-3. Provide outstanding customer service to the heavy volume of student and family inquiries related to summer offerings; advise and counsel students and family via phone, email, and in person on courses and programs, grades, housing, and regulations in compliance with all relevant policies and procedures including FERPA.

A-4. Skill in writing and editing correspondence with correct grammar, spelling, and punctuation and with speed and accuracy; Ability to make oral presentations; ability to explain policies and procedure to a variety of campus stakeholders.

A-5. Provide general Student Affairs administrative support for student advising and communication, as well as enrollment and registration processes.

A-6. Work with staff to maintain uniform and consistent application of student policies and regulations concerning registration and enrollment, billing and refunds, and other student services activities and ensure dissemination of accurate information effectively utilizing various communication methods as needed.

A-7.  Review, analyze, and provide recommendations and solutions to the Director with regards to issues, policies, and procedures as they relate to the overall summer precollege experience.

Judicial Affairs

B-1. Assist with summer residential staff training for programs offered through summer sessions, to ensure uniform standards and procedures will be implemented for residential programs.

B-2. Track, Review and document all incident reports involving summer only students (using Symplicity Advocate software), including illness/injury, behavioral misconduct, academic misconduct, determining incidents which require action by Summer Sessions.

B-3. Respond to student emergencies as they arise, working closely with Summer Sessions management and appropriate UCLA departments to find resolution, exercising professional judgement in conformance with policies and guidelines.

B-4. Serve as primary liaison with relevant UCLA departments and programmatic staff when undertaking an investigation of an incident report and alleged academic or behavioral misconduct.

B-5. Lead prompt, impartial, and equitable investigations for all potential violations of misconduct (behavior and academic) including: meeting with complainants, respondents, and witnesses, conducting interviews with students and staff where appropriate, ensuring a fair process for all parties; determining if a violation took place and adjudicating disciplinary action based on the violation; communicating disciplinary outcomes with students and parents (for minors); performing changes to enrollment status when applicable.

B-6. Maintain accurate and through records and notes of any investigation and hearing processes.

B-7. Perform research and data analysis on trends and developments within the realm of judicial affairs in the Summer Sessions office.

B-8. Based on analysis of judicial affairs data, make recommendations regarding Summer Sessions policies and procedures, and participate in the conceptualization and development of future Summer Sessions offerings with consideration of the trends and development of judicial affairs statistics.
