POSITION SUMMARY

The Chancellor's Residence Manager provides support in two primary functions: residence management and coordination of events at the property. The Residence Manager works closely with the Associate to the Chancellor to ensure that the residence is in a state of complete readiness for all types of events and activities, whether scheduled or unscheduled. This includes overseeing the maintenance of the residence, coordinating facilities maintenance, repairs, and renovations, and managing work performed by campus service personnel and outside contractors.

 

The Residence Manager is also responsible for planning and implementing events hosted at the residence, coordinating with various campus service departments and external vendors. The role includes maintaining individual and annual event budgets and developing trend analyses to support strategic event planning.

 

The Residence Manager operates with a high degree of autonomy and ensures any complex issues or challenges regarding are escalated to the Administration Chief of Staff for coordination of additional resources or support.

1. Provide support in the coordination of Residence social events sponsored or hosted by the Chancellor and/or the Associate of the Chancellor at the property.

2. Assist the Chancellor and the Associate of the Chancellor in greeting guests and directing guests to the appropriate area or seat.

3. Work closely with the Associate of the Chancellor to approve all programs, catering, and other event aspects.

4. Establish strong working relationships with campus partners and vendors who provide event support.

5. Oversee all aspects of the event including supervising catering, audio visual, electricians, entertainment, rental equipment, temporary staff, and others.

6. Manage event team, including vendors, kitchen staff, serving staff, etc.

7. Maintain individual and yearly event budgets and planning.

Residence Management

1. Maintain a close working relationship with the Chancellor and Associate of the Chancellor, which requires access to sensitive and confidential information related to labor and personnel related matters, and operational decisions.

2. Contribute to the development and implementation of management strategies related to staffing, service delivery, and operational planning at the Chancellor’s Residence.

3. Provide a high level of service to the residents and ensure their needs and performances are met.

4. Assist with the maintenance of the Residence, including managing use of space and coordination of activities at the residence.

5. Coordinate house staff, including housekeepers, cooks, gardeners, etc. 

6. Creates scheduled and assign tasks to household staff.

7. Aid house guests and oversee guest accommodation and hospitality. Oversee day-to-day operations of the property. Work in close relationship with Facilities Managements and other vendors to complete residence projects and maintenance efforts.

1. Exercises a high degree of discretion in handling confidential matters that may impact bargaining unit employees and campus operations.

2. Point of contact for responding to emergency calls and security issues at the Chancellor's Residence.

3. Ensures any complex issues or challenges are escalated to the Administration Chief of Staff for coordination of additional resources or support.

4. Occasional travel may be requested.

5. Serve as point of contact for Environment, Health and Safety for the routine inspections and maintenance of the public access defibrillator at the residence.

Experience as a House Manager, Event Manager, personal assistant, or similar role.
