POSITION SUMMARY | The Program Director, Competitive Sports, is responsible for managing and coordinating program operations for UCLA Recreation. Responsibilities include the development and management of a comprehensive program of over 50 club sports, more than 30 intramural activities for students, faculty and staff and a multi-dimensional program in instruction. The Program Director, Competitive Sports supervises full-time coordinators for intramural and club sports, as well as instructional programs. Under the general supervision of the Associate Director, work is initiated and carried out independently, following UC and departmental policies and procedures, as well as federal and state employment law. Ability to work independently, monitor work and set schedules to ensure that deadlines are met and customers are served. Performance is formally reviewed annually. Department Summary | UCLA Recreation is a large department within the Division of Campus Life in Student Affairs with approximately 90 full-time career and contract and over 1,000 part-time employees. UCLA Recreation provides extensive access to a broad range of recreational activities and wellbeing services, and offers programming which encompasses the competitive, passive, social, cultural, and instructional aspects of recreational activity. In addition, the department manages 15 of the University's recreational and athletic facilities offering recreation, competition, and numerous multi-use options for student and university events. |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Program Administration | • Direct the management of intramural and club sport registration processes. ◦ Responsible for staff training and risk management to meet best practices, state codes, safe supervision, and participant planning. ◦ Revise and update club sport policies and procedures. • Implement policies and procedures for the safe operation of all elements, including collaboration with facility staff on inspections and maintenance. Coordinate training methodologies and procedures to ensure the safe use of elements by appropriate personnel. • Oversee unit's facility needs with all applicable facilities, including off-campus facilities. ◦ Ensure team and participant compliance with risk management issues related to all unit programs. ◦ Review club sport activity evaluations on a quarterly basis. • Prepare analyses and other reports as required, researching and implementing program enhancements as appropriate. • Keep accurate time and attendance records of officials, sports supervisors, and clerks by maintaining payroll and budget accounts. • Provide student organizers and competitive sports coordinators with guidance for all unit events (club sports tournaments, extramural tournaments, etc.) throughout the planning process. • Oversee and guide staff in utilizing online payment features when necessary for events inclusive of sport camps and intramural sports. • Direct the instructional class registration process to include Sport and Martial Art programs. • Direct the Adaptive Recreation program and the Unified Sports program. • Attend University or department committee meetings as assigned. • Display a strong professional presence, have the ability to communicate both in writing and orally with staff, students and faculty. • Coordinate and supervise activities in other departmental units as directed to include but not limited to youth programs, aquatics and special events. | 35% | Supervision | • Supervise full-time staff, including competitive sports coordinators and instructional program staff. • Direct performance measures, goal setting, and organizational operations for full-time staff. • Oversee subordinates in the recruitment, selection, hiring, training, and management of other staff including facilitators, instructors, officials, student coordinators, and coaches. • Provide training sufficient to orient personnel to their duties, the goals and objectives of the programs and the department, the policies and procedures of the university, and the rules and guidance of the supervision of activities. • Serve as a resource to clubs on national and local governing body guidelines. • Review and submit the time and attendance of employees in the TRS system. • Conduct progress reviews with subordinate staff periodically. Conduct annual performance evaluations within timelines established by the department. | 30% | Budget Administration | • Reconcile club team ledgers monthly, ensuring that income and expenses have been routed to the accounting units. • Review monthly profit and loss statements for clubs that maintain several accounts such as Men's Rugby and Men's Rowing. Disseminate statements to those designated to receive them. • Responsible for determining the allocation process for club teams in a manner that meets unit objectives. • Oversee planning, forecasting, and reconciliation of the unit budget, and strategic planning and budgetary analysis of new program opportunities. • Develop operating plans for the unit, translate unit and department goals into the budget, and cultivate solutions for resource needs. | 25% | Marketing and Public Relations | • Collaborate with Marketing Unit to develop promotional and marketing materials, including print, electronic and web communications. • Oversee the production of visual displays; develop multi-media presentations for group orientations or other public forums. • Ensure coordinators maintain close communication with participants regarding deadlines, game schedules and related policies and procedures. • Review and evaluate ongoing promotional strategies and initiate new and innovative approaches as appropriate. • Maintain the unit's technology needs and research new trends when appropriate. | 10% | | | | | |
