POSITION SUMMARY

If you are highly organized, detail-oriented and want your work to make an impact, start or further your career as a Stewardship and Communications Coordinator within the Health Sciences Development (HSD) fundraising team. You will be part of a vibrant, creative group in a supportive environment that is committed to providing the highest level of care and engagement to our donors. The magnitude and impact of our donor engagement is broad and deep and requires a highly collaborative and purposeful team to build and sustain an extremely effective donor engagement program. As a Stewardship and Communications Coordinator, this is an entry-level position where you can build your career through our training, mentoring and professional development programs. 

 

In this role, you will be responsible for providing support for a broad range of duties that assist our efforts to acknowledge donors and to demonstrate the impact of their giving. You will draft and edit correspondence and other stewardship and communications materials, create and analyze reports, compile and distribute information, assist with event planning, and conduct research by using tools like databases, Outlook, Word, Google Docs and Excel. You will be an integral part in organizing and maintaining the systems and processes essential to our stewardship and communications activities and office. In addition, you will also assist with special projects to expand your level of knowledge and involvement in our work. As part of your role, you will serve as a liaison to our team and will interact with donors, volunteers, faculty, students and staff, which will enable you to hone your skills in delivering a superb customer service approach that develops and upholds lasting relationships to meet the goals of Health Sciences Development.

Stewardship Support

1. Support Director of Stewardship for all stewardship-related activities and projects.

 

2. Collaboratively gather, compile and distribute a high volume of gift/donor information; compose special letters/ correspondence.

 

3. Prepare/manage heavy flow of materials and stewardship communications, especially gift acknowledgements and Endowment in Action report narratives.  

 

4. Independently review, prioritize and address stewardship communications; respond, take action or redirect. 

 

5. Perform analyses of relevant stewardship activities/issues for supervisor’s review.

 

6. Utilize University online financial systems for research/special projects. 

 

7. Work collaboratively to create functional/efficient methods to streamline operations/processes of Stewardship programs.

8. Oversee complex Stewardship and Communications calendars to ensure schedules for meetings, events and activities are set.

Communications Support

1. Collaboratively donor pieces; assist with content/assembly of printed materials for various donor projects; proofread donor collateral.

 

2. Assist Communications Project Manager with maintaining HSD Communications project tracking calendar; help monitor shared Communications team email for Creative Services Requests; track project status/deadlines with proactive follow-up.

 

3. Assist Director, Development Communications with production of design projects, and/or other communications projects, as needed.

 

4. Research, evaluate and propose solutions in response to requests made by donors and other internal/external partners.

 

5. Schedule mass communications projects using Salesforce Marketing Cloud, maintain the sender profile tracking sheet, and organization of Salesforce folders.

1. Research, compile and maintain information regarding donors, gifts and funds from available resources; track and provide reporting on donor activities.

 

2. Initiate and follow up on stewardship and communications activities with internal and external partners.

 

3. Help onboard new employees to HSD on communications and stewardship procedures.

 

4. Organize and maintain vendor sample files and communications and stewardship archival information (e.g., invitations, brochures, leadership acknowledgments)

 

5. Keep track of Communications/Stewardship budgets and monitor spending. Purchase donor gifts and process invoices.

 

6. Manage special projects as appropriate.
