 POSITION SUMMARY  |  The Campus Operations Manager is the primary point of contact for the operational functions of Geffen Academy at UCLA and operates with a high degree of autonomy under the general direction of the Chief Financial & Administrative Officer (CFAO). The Campus Operations Manager is responsible for overseeing the daily logistical operations of Geffen Academy. The incumbent works to ensure a comfortable and safe workplace environment for all educators, staff, students, and visitors. The incumbent conducts space audits and manages space utilization including, planning and space inventory. They coordinate and monitor status of work orders; estimates, requests, and purchases materials and equipment; and estimates labor and other related cost associated with the facilities; informs the Chief Financial & Administrative Officer on forecast budget overages and recommends efficiencies where possible. The Campus Operations Manager is also responsible for coordinating major renovations and facilities projects and updating and executing the Facilities Strategic Plan's initiatives and goals. The incumbent acts as the Emergency Response Team leader during school drills exercises and in real emergency events. Responsibilities may include leading emergency training, drills and real-life implementation of emergency response plans, along with managing resources for Geffen Academy. Serves in a leadership capacity on the Emergency Preparedness and Safety Committee. Manages special projects from the Chief Financial & Administrative Officer, Head of School and/or designee.  The incumbent serves as the liaison with Campus Security/UCPD, UCLA Dining Services, Facilities, and Custodial Services. Reports needs as needed to the Chief Financial & Administrative Officer, tracks costs, assesses efficiencies, and communicates changes to school programming impacting the respective services.  |   |  |  |

 Key Responsibilities and Essential Functions  |  Function  | Responsibilities  | % Time  |  Campus Operations Management  |  â€¢ Identifies Geffen Academy tasks requiring support from UCLA departments providing the following services, Facilities Management, Information Technology, Police, Dining Services, and Capital Programs.  â€¢ Assesses and monitors facility repairs to ensure cost effectiveness; establishes criteria for repair versus replacement of facilities.  â€¢ At the direction of the Head of School and Chief Financial & Administrative Officer, creates, implements, and maintains repair and capital improvement budgets; ensures compliance with budgetary constraints; and forecasts and plans facility improvements; communicates effectively and timely as needed with stakeholders and supervisor.  â€¢ Plans, develops and prioritizes projects and weekly work plans; ensures that materials are ordered, projects are designed and planned, and consults with Chief  Financial & Administrative Officer to confirm budget parameters.  â€¢ Coordinates and monitors status of work orders; estimates, requests, and purchases materials and equipment; and estimates labor costs; informs the Chief Administrative Officer on forecast budget overages and recommends efficiencies where possible. Assesses furniture and equipment needs, evaluates and makes recommendations concerning specific purchase items, and compares and makes recommendations regarding purchase versus lease acquisition strategies and service maintenance contracts.  â€¢ Coordinates services provided by Facilities Management staff and outside vendors, including all FSR's, furniture orders, furniture movers and installers, and interior design services. Develops relationships and partnerships as needed.  â€¢ Oversees security team daily assignments in collaboration with UCLA Police Department. Assists with coordinating school events, such as planning, alarm systems and organizing security.  â€¢ Maintains, updates and executes plans and projects from the Facilities Strategic Plan.  â€¢ Plans, communicates and executes building entry and exit protocols for visitors as directed.      | 80%  |  Office Management and Special Projects  |  â€¢ Works under the direction of the Chief Financial & Administrative Officer and Head of School on classroom and space needs for educators, students and community members.   â€¢ Plans work/staff schedules; evaluates and monitors projects with regard to progress and costs.   â€¢ Coordinates the development and planning of facility appropriate use procedures.   â€¢ Communicates policy and procedure updates to ensure employees stay abreast of changes and current information.   â€¢ Liaises, communicates and completes plans and documents as needed with Environmental Health and Safety department and Insurance and Risk Management; well versed in the UCLA Safety Plan, UCLA Shop Safety Manual, UCLA Injury and Illness Prevention Plan (IIPP), UCLA Lock Out/Tag Out Program and other essential UCLA health and safety policies manuals and procedures.   â€¢ Completes Reports as needed and communicates risk issues with CFAO as soon as they are known.   â€¢ Audits safety protocols and operating procedures of Makerspace, Science Labs, Art spaces and other locations that require additional safety procedures and mitigation protocols, makes recommendations and executes remediation plans if needed.    | 20%  |   |  |  |  |  |
