POSITION SUMMARY

The Program Coordinator plays a pivotal role within the Offices of Student Conduct and the Office of the Dean of Students, acting as the primary point of contact for a diverse array of individuals, including students, faculty, staff, parents, and others engaging with the office. They provide consultations and intakes, manage conduct cases, coordinate trainings and presentations, oversee certification processes, handle appeals, and manage administrative tasks (including Purchasing, AP, Travel, Parking, Keys, Access, etc.) for the Dean of Students' organization. This role demands a deep understanding of university objectives, student affairs, and development theory.


Department Summary

The Offices of Student Conduct and the Office of the Dean of Students administer the campus' student conduct system, advise undergraduate honor societies, and serve as a resource center for students and other members of the university community.

Assess student needs, offer referrals, and prioritize urgent matters. Efficiently coordinate services and appointments for diverse stakeholders. Support students in distress and collaborate with campus partners to address evolving needs. Serve as a knowledgeable first point of contact, providing guidance and counseling on university policies. Facilitate developmental meetings, contribute to departmental initiatives, and represent departmental services through presentations.

Student and Student Group Conduct Case Coordination

Serve as a backup Hearing Coordinator, managing disciplinary processes and DR grades. Additionally, oversee publication updates, supervise interns as needed, and maintain office databases (Simplicity/Advocate) and communication platforms. Offer programmatic assistance, encompassing drafting official notices, furnishing status updates/responses to background inquiries, and managing class rosters. Manage certification programs and ensure compliance with security protocols, including Clery Act reporting.

Campus Appeal Coordination

Collaborate with supervisor and VCSA to facilitate appeal processes. Act as liaison for Appeal and Interim Suspension/Exclusion procedures. Compile quarterly appeal activity reports and ad hoc reports as required. Draft decisions under Vice Chancellor and Dean of Student guidance. Ensure timely communication of appeal outcomes. Aid in the periodic review of appeal procedures, policies, and protocols, offering recommendations for enhancements as necessary.

Operations and Fiscal Coordination

Provide support to staff by assisting with parking, key issuance, OASIS, email access, Counselor Desktop training, and Advocate accounts. Maintain and manage equipment and space inventory. Act as departmental Emergency Coordinator and coordinate facilities and telecommunication needs, including scheduling service and replacements. Review and process fiscal transactions and requests for supplies, services, travel, and equipment using online systems. Aid in onboarding/training for new employees upon request and manage records and facility upkeep.

Training and Outreach

Lead educational programs and workshops as a presenter. Coordinate all aspects of training and presentations, including logistics, preparation of materials, marketing, and attendance tracking. Organize outreach initiatives, such as brochure production and resource fair participation, to effectively represent the office.

Special projects in support of Student Affairs, the Office of Student Conduct, or the Office of the Dean of Students, as assigned.
