POSITION SUMMARY | Reporting to the Communications & Human-Centered Design Strategist on the Change Management + Media Innovation Team, the Training and Engagement Specialist is responsible for creating and supporting the implementation of training and engagement activities for internal and external end-users of services administered through the VC & CFO Organization. This role applies organizational change management methodologies to design, deliver, and evaluate employee-facing system training and engagement programs of moderate scope and complexity. This role works collaboratively across departments to assess campus training needs and associated change impacts, administer programs, and ensure effective learning and engagement outcomes. The position requires sound judgment within established guidelines and practices, strong organizational skills, and the ability to manage sensitive information with discretion. | | | |
Department Summary | The Office of the Vice Chancellor and Chief Financial Officer advises the Chancellor and Executive Vice Chancellor and Provost regarding academic and budgetary planning issues and allocation of campus resources, including issues involving students, faculty, staff, space, and university finances. The office also manages the key campus planning processes and data sets that support these decisions, and performs a central role in UCLA's systems of internal control and accountability. The office also is responsible for the capital planning and finance, real estate, design and construction of all campus capital projects. |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Training Content Creation | • Works in a collaborative manner with a diverse organization community to assess change management needs, gather training & engagement requirements, and assist in the development of new training assets, including knowledge articles, web content, quick reference guides, and presentation materials; ensures assets adhere to UCLA and departmental style guides. • Supports the ongoing maintenance of existing support materials in alignment with organization’s long-term content strategy; catalogs content and conducts annual audits, ensuring content accuracy. • Maintains records of training / support channel attendance and tracks questions & answers to evaluate program effectiveness; develops just-in-time FAQs and knowledge resources based on engagement analytics. • Gathers and analyzes resource data and other analytics to inform training and engagement recommendations, demonstrating organization and problem-solving skills. • Exercises judgment within defined procedures and practices to determine appropriate actions and prioritize work assignments. • Works under general supervision, receiving general instructions for ongoing content development / maintenance as well as new projects / assignments. • Applies organization policies, procedures and programs in addressing training needs among various functions. | 55% | Engagement Program Facilitation | • Supports the execution of comprehensive engagement plans for internal department services and campus outreach initiatives, including newsletters and websites. • Facilitates in-person and virtual events, townhalls, and other engagement activities and knowledge sessions; assists with user research for change impact assessments and training needs analyses. • Collaborates with stakeholders and subject matter experts (SMEs) to craft compelling narratives for internal and external engagement; manages contact lists and supports listserv audits. • Works with management to identify ways to improve engagement metrics and programs/services. | 45% | | | | | |
