POSITION SUMMARY | The Associate Production Manager & Community Engagement Manager oversees the administrative and operational functions of the production department, including purchasing, budget and inventory tracking, reporting, and internal communications. This role also leads the planning and execution of programs that engage students, alumni, and industry professionals, supporting recruitment efforts and ensuring the success of educational and non-production events. | | | |

Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | ADMINISTRATION MANAGEMENT | 1. Execute all Production Program business and administrative functions including purchasing, hiring, and budget reporting. 2. Manage the administration of venue rentals including responding to rental inquiries, distributing rental information and technical questionnaires to potential clients. Establish appropriate contact information, collect necessary event and technical information, generate cost estimates in coordination with Technical Supervisors, write rental contracts, invoice, and monitor and collect client payments as required. 3. Manage and increase event programming and external use at designated production venues. 4. Monitor use and condition of equipment in production offices and box office. Maintain and repair equipment as needed. | 65% | | 5. Facilitate Production Unit and Department communication through the creation and distribution of season and performance listings and production schedules. Update on-line production schedule as required. 6. Coordinate the University's yearly equipment inventory in association with Production Unit Department Heads. 7. Manage and reconcile the Production Unit's petty cash fund. 8. Post, track and provide reporting for all production expenditures. 9. Post, track and provide reporting for all labor budgets. 10. Reconcile monthly Procard statements for the Production Unit. | 0% | | 11. Provide the Events On-Line Listings for all public performances in Department facilities. 13. Coordinate first aid supplies with Cintas. 14. Monitor production and office supplies and purchase as needed: Supplies include gaff tape, spike tape, Marley tape and copy paper. 15. Manage comp reservations for ticketed mainstage shows. | 0% | COMMUNITY ENGAGEMENT | 1. Coordinate logistics and arrangements for guest speakers VIPs and recruiting candidates 2. Manage major recurring professional transition events including industry showcases and career development workshops. 3. Provide administrative and audience development support for faculty production practice activities. 4. Oversee season marketing efforts including workshop coordination, audience outreach and marketing oversight. 5. Organize and manage talk backs, alumni events and activities connecting the campus community with departmental work. | 25% | | 6. Assist the Director of Production on all productions, working with entire production staff to realize the production within the agreed budget parameters and available resources. 2. Attend staff meetings, and other meetings as needed. 3. Research, apply and secure performance rights for Department productions and ensure compliance with all contractual obligations. Purchase or rent scripts, scores and other published production materials as required. Track the distribution of rented materials and return to publisher as required.
