POSITION SUMMARY | Work under the general supervision of the Office Manager in the Center for Academic Advising in the College (CAAC). CAAC provides advising and counseling services to approximately 18,000 undergraduate students in the UCLA College. Schedule student appointments with counselors, process petitions, and monitor and enforce College rules. Provide information regarding academic requirements, procedures, and events at an information window, message center, REACH Virtual Drop-ins. and via email This Department support's UCLA's FlexWork Program, Hybrid work options, with combined in-person and telecommuting responsibilities, are currently available. Provide administrative support to various counseling committees and full-time staff, and communicate with other offices (e.g. Registrar's Office, Admissions, College Information Services) on behalf of students and CAAC as directed. Prepare for event and program support, student notifications , and written reports (statistical data and narrative evaluations) to the Office Manager, the Directors of CAAC, and the Assistant Dean, Undergraduate Academic Support. Support and help train 3-5part-time time student workers responsible for more routine clerical tasks and covering the office's reception responsibilities as needed. | | | |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Advising and Information Dissemination | A1. Provide information and advising to students, parents, and the campus community at an information window, on telephones, at the front desk, through message center, in REACH Virtual Drop-ins, at CAAC events, and via email. Explain College procedures and petitions and their application to individual students. A2. Screen incoming student petitions, reviewing them for clarity and accuracy, suggesting appropriate alternatives, and notifying students as necessary for additional information. Enter petitions on office internal web-based data bases (Counselor Desktop and SAIT Forms). A3. Screen and act on specific student petitions, using independent judgment based on College academic rules and regulations (e.g., Reduced Fee petitions, restricted late drops, withdrawals, and removals of Incompletes). A4. Screen student requests for appointments with counselors and, when appropriate, schedule them on office internal computer software (Counselor Scheduler). A5. Act as resource to counselors for special problems/situations arising from student appointments e.g. obtaining additional information from other offices (Registrars, Admissions), following up with student via , message center, email, or other campus notification systems. Meet as designated with counseling committees to help develop/implement procedures, plan events, and provide input. A6. Provide other administrative support as needed to ensure the smooth operation of CAAC. | 45% | Administrative Processing and Data Management | B1. Compose correspondence, forms, flyers, digital media, or other materials related to petition requirements, deadlines, DARS substitutions, Message Center templates and responses , or projects for which the incumbent is responsible. B2. Submit reports of tasks and programs to supervisor as requested, evaluating and making recommendations for changes. Attends counselor meetings to review updated policies and procedures, contribute to discussion of CAAC improvements, and ensure timely review and notification of student petitions and requests. B3. Meet with appropriate standing committees of counselors to prepare petition submission, review processing procedures, update databases, complete initial screening, and coordinate timely review and notification of decisions. B4. Input approved petitions in university student databases (SAIT Forms, Petition Manager, OASIS and Box). B5. Compile statistics necessary for a variety of reports by monitoring numbers of students and contacts. B6. Complete special projects as needed under the direction of the supervisor or full-time staff. B7. Organize and respond to student inquiries and petition processes between CAAC and campus partners through campus-wide SAIT information management (Message Center, Forms, Workflow). | 40% | Operational Support | C1. Assist with coverage of the College Academic Counseling reception area and check in students. Maintain reception desk, reception area, , and hallway area (re-stock, re-order flyers and brochures, remove outdated material, bring in standards at night, keep the area clean and neat). C2. Support training, scheduling, and coordination of student workers in maintenance of student files, reception responsibilities, and other clerical duties as assigned by the Office Manager. C4.
