POSITION SUMMARY

The Office of the Dean of Students serves as a resource center for students and other members of the university community. The Student Life Development Specialist serves as Hearing Administrator and Campus Advisor.

 

Under the direction of the Dean of Students, the Hearing Administrator and Campus Advisor supports the Office of the Dean of Students by serving as a Hearing Chair, Officer, and panelist, coordinator and administrator of Hearing Committees, the Group Conduct Board, and the student grievance process, and Co-facilitator of the Campus Advisor program. The incumbent recruits and trains Campus Advisors, volunteer Advocates, and hearing committee and group conduct board members. The role also includes scheduling meetings and hearings, coordinating responses, writing analytical reports summarizing the matters under consideration through the various hearing processes, ensuring compliance with applicable policies, and communicating with students, faculty and staff on these matters.

Key Responsibilities and Essential Functions

Hearing Officer

Serve as key facilitator of the student conduct process by acting in the capacity of hearing chair, hearing officer, and panelist for broad range of student hearings. Exercise strong professional judgment in interpreting and synthesizing case materials, supporting documents, and relevant contextual information. Evaluate this information to prepare well‑reasoned recommendations and decisions on Student Conduct Code matters. Prepare, draft, edit, and finalize formal written reports and hearing summaries as necessary. Review and make final determination regarding assessing and deciding challenges related to Student Conduct Code-related matters.

Campus Advisor

Accompany students to meetings, interviews, and hearings related to student adjudication processes on campus. Assist students with understanding adjudication processes and procedures. Counsel students regarding University resources, and make referrals as appropriate. Where possible, maintain records of student needs and support, and make recommendations on enhancing services.

Hearing Administrator

Manage administrative hearings for grievances, individual student, and student group conduct matters.

a. Ensure hearings proceed according to established procedures.

b. Record hearings.

c. Draft hearing reports.

d. Route reports and correspondence between the student, student group, Advisor Assigned Dean(s), Committee Chair(s), Hearing Officer(s), Dean of Students, and Vice Chancellor.

e. Draft communications regarding hearing outcomes on behalf of Dean of Students and Vice Chancellor.

f. Manage appeal process per relevant policy.

g. Communicate final decisions to appropriate parties in a timely manner.

h. Update case files.

When appropriate, consult with campus counsel regarding complex or precedent-setting matters.

Hearing Coordinator

Manage the Student Conduct Committee, Grievance, Hearing, and Student Group Conduct Board processes, including recruiting members, advocates, officers, and chairs, scheduling hearings, managing correspondence, developing training, handling data collection, and making recommendations for updates and revisions to the process and the student and student group conduct codes. Participate in staff meetings and retreats, and in divisional assessment efforts. Identify learning outcomes, design survey instruments; analyze data; and prepare reports for divisional management.

Student Advising and Mediation

Assist students with resolving matters through mediation or Alternative Dispute Resolution. Assist students with resolving University-related problems. May be assigned to serve as advisor to Honor Societies including Mortar Board, Golden Key, Alpha Lambda Delta/ Phi Eta Sigma, or Tau Sigma.

Other

Provide back-up administrative support to the Associate Dean and Office of the Dean of Students as workload and absences dictate. Provide options and information to about the University, interpret and explain relevant policies, procedures, and regulations to others. Counsel as appropriate. Respond or refer inquiries. Represent department at resource fairs and other campus events as requested, and the Associate Dean of Students, and Dean of Students on Student Affairs and campus-wide committees as assigned. A member of the Office of the Dean of Students on-call rotation. Serve as responsible employee under Title IX, mandated reporter under CANRA, and campus security authority under Clery Act. Other duties as assigned.
