POSITION SUMMARY | Under the direction of the Dean of Students, the Program Specialist provides analytical, programmatic, advisory, operational, and conduct case support to programs in the Dean of Students' organization, comprised of the Office of the Dean of Students, Office of Student Conduct, and Student Legal Services . Key responsibilities include student staff supervision, event coordination, training development, and serving as Campus Hearing Coordinator for Office of Student Conduct. Executes certification and eligibility check processes, manages equipment, oversees primary case intake, manages operational logistics, conducts analyses, and creates reports in support of the Dean of Students Division. | | | |

Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | PROGRAMMATIC AND ADVISORY SUPPORT | Co-Adviser of student organizations in the department. Provide guidance and support on a variety of program needs. Under direction of Dean of Students, co-manages the department's outreach efforts including development and production of training materials, logistics, marketing, attendance and engagement. Participate in University fairs and events. (Requires occasional weekend hours.) Supervise student workers. Co-develops educational and competency expansion for staff through meetings, professional development, trainings, in services, retreats. Provide program services and respond to constituent’s needs concerning program activities. Collaborates with supervisor for high level/touch student needs. | 30% | STUDENT CONDUCT SUPPORT | Serve as Campus Hearing Coordinator/Administrator for student and student group conduct and student grievances. Review hearing processes, and related policies and procedures; make recommendations for modifications. Develop and present training program for student and student group conduct volunteers. Administer campus verification, eligibility checks, and government agencies conducting security checks, and dean’s certification processes. Support case management needs for office, including interviews with students that report possible violations of the Student and Student Group Conduct Code as an intake officer. Recommend solutions and resources. | 25% | ADVISOR | Accompany students to meetings, interviews, and hearings related to student adjudication processes. Assist students with understanding adjudication processes and procedures. Counsel students regarding University resources, and make referrals as appropriate. Where possible, maintain records of student needs and support, and make recommendations on enhancing services. | 20% | STAFF PORTFOLIO SUPPORT | For Dean of Students portfolio: Onboard & offboard employees’ logistics & infrastructure. Manages department's equipment and space inventory (including annual equipment certification), supplies, emergency coordination, telecommunications, maintenance of office equipment, financial systems, & basic repair needs. Coordinate response to items from Chancellor’s Communication Service. Monitor deadlines, triage tasks & respond on behalf of Dean. Research, clarify, and analyze information to independently draft reports, proposals, & correspondence for Dean. Draft, design, proofread, edit, & format publications, organization’s website (in compliance with accessibility requirements), or other materials requiring Dean's signature. Oversee reporting needs of org by analyzing data & preparing reports. | 15% | SPECIAL PROJECTS | Provide support to Office of the Dean of Students.
