POSITION SUMMARY

Under the direction of the Store Supervisor the incumbent shall perform material management duties for properties managed by UCLA Housing & Hospitality Services.  Duties include performing day-to-day operations to maintain the Housing Maintenance Parts Department Inventory and Work Order system.   Operations include purchasing, tracking issuance of parts/equipment and work order data base management to maintain multiple stockrooms utilizing a Database Management System.  The incumbent will also be responsible for performing periodic physical inventory of stockroom supplies/equipment, facilitate maintenance/repair of tools, equipment and vehicles and monitor uniform service.

Parts Services

Assist with maintaining the Parts Department by organizing parts storage, stocking of incoming supplies, and assist with overseeing inventory issuance procedures.  Check number of pieces received against carriers freight bill, check for condition of shipment and sign for merchandise received. Inspect goods for  completeness of orders. Provide notification of all discrepancies and forward necessary correspondence.  Mark merchandise with proper bar code signature. Place merchandise in its proper storeroom location ensuring that parts are readily identifiable. Prepare merchandise packing slips in accordance with Department policy for distribution to Office Support group. Assist with the movement of received items from central receiving locations to outlying Housing Maintenance stockrooms and

Database Management

By using a bar code reading device, incumbent swipes all necessary inventory parts bar codes, so that parts numbers, appropriate work order numbers and personnel to which parts are being issued to are accurately documented and maintained in the database. Assist with maintaining the Automated Work Order/Parts Tracking Computer System program. Generate Work orders and reports as requested. Perform miscellaneous database entries as requested. Enter work orders into Automated Work Order/Parts database from the mechanics log sheets to correspond to parts utilized.At identified periods, incumbent is responsible for downloading the bar reader input into the Inventory data base.

Inventory & Equipment

Coordinate with the Store Supervisor on updating relative to parts and equipment inventories. Assist with monthly parts reports. Conduct periodic manual inventories of merchandise on hand, as directed by the Store Supervisor. Assist with the cleanup of stockrooms and work shops. Notifies Store Supervisor of low stock items. Assures that inventory area, storage room, supplies and equipment is secure when leaving area. Assist with the maintenance of tools and equipment through inspection, cleanup and repair to insure proper working condition. Facilitate issuance of tools to Mechanics. Perform daily checks of equipment to insure the return of tools and equipment issued to the Mechanics. Perform periodic inspection of Mechanics tool kits to document instance of lost, stolen or worn out tools. Facilitate replacement of broken tools. Assist with maintenance of Housing Maintenance auxiliary storage facilities and assist with facilitating equipment rental. Assist with the Annual Physical inventory Equipment Report (EQ920's). Assist with the maintenance of inventory of Safety Supplies for Housing Maintenance Staff to include establishing and maintaining the first aid station in Housing Maintenance. Assist with monitoring the uniform inventory by recording data relative to issuance and returns. Interact with uniform Supplier to make adjustments in clothing supply.

Purchasing

Under the Store Supervisor and Storeroom Manager's direction, facilitate the purchase of parts and Supplies necessary to maintain sufficient stock levels for the Department.  Assist with facilitating the purchase of hand tools and equipment for the Maintenance Staff. Order, as directed, par-stock inventory levels of office supplies.

Vehicle Maintenance

Assist with facilitating semi-annual maintenance of vehicle and expedite the emergency repair of Vehicle fleet. Assist with facilitating monthly inspection of vehicle fleet to identify repair requirements; check fluid levels and correct safety hazards. Assist staff at roadside in event of lockout, refuel, jump start, flat tire or notify UCLA Fleet Service if tow is required.

Miscellaneous

Provide telephone coverage upon request. Retrieve parts from vendors as requested. Assist with the issuance of keys to the facilities staff, adhering to the existing key policy. Assist in monitoring of key issuance.
