POSITION SUMMARY

The Grants Coordinator provides expert, comprehensive pre- and post-award research support for extramurally funded projects. This includes drafting grant text; conducting research to support grant submissions and reports; drafting and supporting grant reports (e.g., RPPRs); hiring research personnel; arranging visiting scholars and collaborators; coordinating grant-funded events; monitoring and ensuring compliance around human subjects, data use agreements, and data security; and supporting grant purchases, reimbursements, procurements, and computing/software. The position also supports the fund manager in providing regular financial updates in user-friendly formats to PIs, to facilitate the tracking of spending. The grants coordinator collaborates with PIs to create output for stakeholders, university communications, and the public, increasing the visibility of research projects and CCPR, both in traditional and social media. The grants coordinator additionally drafts quarterly newsletters and oversees updates to the CCPR websites regarding research project output. The position ensures that CCPR's research projects and training grants are executed with efficiency, professionalism, and broad visibility.


Department Summary

Established in 1998, the California Center for Population Research (CCPR) has been a leading research center for research and teaching demography. Supported by the NICHD Population Center Infrastructure Grant and UCLA, CCPR is comprised of faculty researchers and graduate student affiliates across campus from various professional schools. CCPR is dedicated to train the next generations of demographers; to conduct rigorous independent research on demography, reproductive and population health.

- Collaborate with and provide highly responsive troubleshooting and support for grant submissions This includes working closely with PIs to develop, draft, and submit grant proposals to federal agencies, foundations, and other funding sources.

- Provide editorial, formatting, and compliance support for grant submissions, ensuring alignment of proposals with sponsor guidelines and requirements.

- Independently draft and collaborate in writing progress reports and impact reports for funders, academic partners, and the public.

- Compile data, metrics, and narrative summaries to support grant reporting to UCLA administration and communications office, funders, and project stakeholders.

- Oversee and execute all grant-related events and programs, including seminars, training workshops, and collaborative research initiatives.

- Support and advise faculty directors in managing infrastructure and training grant activities (e.g., NIH T32), ensuring compliance with reporting requirements and coordination with university and funding agencies.

- Oversee hiring and onboarding of grant-funded personnel

- Oversee hiring and onboarding of grant-funded personnel

- Manage data security plans, DUAs, and IRB protocols, and assist with grant-related purchases and procurement.

- Oversee all logistics for visiting scholars, including invitation letters, workspace allocation, system access, and coordination with relevant UCLA departments (e.g., parking, campus maps, IT).

- Provide executive and research assistance to CCPR P2C and T32 PIs, including scheduling meetings, preparing meeting agendas and materials, drafting meeting minutes, and coordinating high-level communications with multiple stakeholders.

- Participate in meetings and calls with collaborators, funders, and institutional partners to provide updates, resolve issues, and align priorities.

- Interface with variety of UCLA administrative offices for contracts and grants management: Office of Contracts and Grants Administration, Extramural Fund Management, Office of Insurance and Risk Management, Social Sciences Division, Office of Academic Planning and Budget, General Accounting, Purchasing, Travel and Payroll, Office of Intellectual Property, Material Transfer, Office of Research Administration Office of the Human Research Protection Program, and Graduate Division.

- Administer and interpret a variety of federal and state policies, regulations, University policies and procedures, award documents and contract agreements to determine allowable expenditures, payment provisions and financial reporting requirements.

- Lead CCPR’s external communications strategy, including updates to the website, newsletter creation, promotional materials, email lists, and social media content, ensuring alignment with both funders’ and CCPR’s academic mission.

- Draft and disseminate communications highlighting CCPR events, publications, and affiliate achievements.

- Prepare outreach and impact materials (e.g., one-pagers, infographics, blog posts) to communicate research contributions to diverse audiences and stakeholders

- Coordinate with UCLA media and communications offices to amplify visibility and engagement across academic, policy, and public audiences.
