POSITION SUMMARY

Under direction from the Outdoor Adventures Program Director, the Outdoor Adventures Challenge Course Coordinator is responsible for the development, coordination, and supervision of the Challenge Course, and other experiential program delivery. This includes responsibility for risk management, inspections, protocol management, scheduling, payroll submission, student-staff training and hiring, curriculum development, program evaluation and marketing for these programs. Incumbent is responsible for the development and implementation of a broad-based and well-balanced curriculum of recreational and physical educational

programs designed for students, members, campus groups, off campus groups, and youth groups, following nationally recognized standards and practices as set forth by university recreation and national governing bodies and organizations as deemed appropriate by the department. Examples may include the PCIA, AMGA, AEE, USA Climbing, ACA, NIRSA, ACCT, ANSI, ACSM, etc. Weekly staff meetings are held for the review of program and department priorities, with special meetings or work sessions scheduled as needed. Performance is reviewed annually, with additional consultations held as needed. Ability to observe and supervise various facets of campus recreation programs as deemed necessary for specific program areas.


Department Summary

UCLA Recreation is a large department within the Division of Campus Life in Student Affairs with approximately 90 full-time career and contract and over 1,000 part-time employees. UCLA Recreation provides extensive

access to a broad range of recreational activities and wellbeing services and offers programming which encompasses the competitive, passive, social, cultural, and instructional aspects of recreational activity. In

addition, the department manages 15 of the University's recreational and athletic facilities offering recreation, competition, and numerous multi-use options for student and university events.

• Develop and deliver a comprehensive curriculum of recreational and experiential educational programs designed for students, members, on-and- off campus groups, and youth groups.

• Curriculum should: reflect a wide variety of course options, programming objectives and formats; incorporate a high concern for participant health and safety, risk management; experiential education components; the fostering of positive group dynamics and appropriate progressive skill acquisition and retention.

• Manage fee structure for all climbing and experiential programs. Collaborate with other units or departments to create custom programs.

• Supervise all programmatic areas related to climbing programs, ensuring conduct is professional and reflects the philosophy of the department. Ensure the highest level of safety is maintained and activities are conducted in a professional, efficient and successful manner.

• Maintain the highest safety standards following nationally recognized guidelines (PCIA, AMGA, AEE, USA Climbing, American Camp Association, NIRSA etc.) and university protocols. Ensure offerings reflect the philosophy of participatory recreation and adhere to program practices and risk management practices as set forth by the University and the profession.

• Continuously evaluate all aspects of the program: participation trends, satisfaction, risk management, budget, and staffing.

• Research equipment and supply options, make recommendations for purchase, and manage purchases according to university and department guidelines.

• Monitor program rosters and enrollment, ensuring adequate staffing for participant abilities and program needs.

• Verify participant health history, physician authorization (when required), and completion of registration/consent forms/ emergency contact forms before program participation.

• Review on-going enrollment and sales reports, make sound and timely

programmatic recommendations to the unit manager to ensure predetermined net revenue goals are achieved.

• Collaborate with Marketing to promote programs and recruit participants from all populations.

• Ensure promotional materials reflect the department's inclusive image (age, body types, ethnicity, activities).

• Prepare program descriptions for sale (error-free, engaging, consistent) following established format and deadlines. Regularly review and update descriptions.

• Assist with reports and projections as needed, providing accurate and complete

information.

Staff Management

• Recruit, interview, hire, train, schedule and supervise student and non-student part-time employees responsible for program delivery and administrative support. Review and approve timesheets according to stated timelines.

• Conduct staff meetings. Develop, schedule, and deliver training to ensure properly trained staff. Assess skill acquisition and knowledge of unit and departmental protocols. Coordinate with other units on training, CPR/First-Aid/AED certifications, University training sessions. Meet with staff as necessary to mentor or counsel on job performance and development.

ʉۢ Plan for high turnover, due to the seasonal nature of some of the positions as well as the high number of employees, which requires continuous hiring and training.

Saftey and Risk

management

• Facilitate the routine inspection of all equipment to ensure it is in good condition and safe for use. Initiate and coordinate equipment repair and replacement as

needed.

ʉۢ Maintain appropriate inventory records, insurance coverage lists, inspection reports of equipment in accordance with industry standards. Implement and maintain a maintenance reporting system to ensure equipment condition, disrepair or malfunction is reported and addressed in a timely manner.

ʉۢ Work with event and facility managers to request facility space using department systems and update facility managers as needed regarding facility concerns.

ʉۢ Collaborate with departmental and university risk management to ensure safety and avoid potential hazards.

Administration

Attend and participate in regular staff meetings, facility manager meetings, and departmental and divisional committee meetings as assigned. Participate in department or university-wide committees or workgroups to contribute to the advancement of the University's mission, as requested or assigned. Prepare reports, proposals, and evaluations within required timelines.
