POSITION SUMMARY

Under the direction of the John Wooden Center Facility Manager (Recreation Program Leader 4), the John Wooden Center, Assistant Manager supports the management of the John Wooden Center (JWC), a multi-use recreational center that includes 15000 sq. ft. of strength & conditioning space, three gymnasia, five hardwood-floor studios, a martial arts studio, racquetball and squash courts, two locker rooms and multiple offices and conference rooms. Users include students, staff, faculty, academic departments, special interest groups, alumni, intercollegiate athletics and other campus agencies. The successful candidate must possess the attitude and aptitude to thrive in an environment that values high expectations, accountability, and balanced lifestyle choices. An entrepreneurial spirit and enthusiasm for service and the cultivation of an inclusive, safe, and diverse environment for staff, members and guests is of the highest priority for the position. The incumbent supports the management of the JWC, including Strength and Conditioning Zones. Incumbent will provide high level customer service to various user groups, campus departments and non-university agencies. Incumbent is also responsible for the recruitment, hiring and training of approximately 75 part-time student employees, and ensuring that all areas are adequately staffed and supervised to provide an inclusive recreation environment for students, members, occupants and guests and safe use of space and equipment.

 


Department Summary

Under the umbrella of UCLA Campus Life, a division of Student Affairs, UCLA Recreation is a large department with approximately 90 career/contract and over 1,000 temporary/part-time employees. UCLA Recreation provides extensive access to a broad range of recreational activities and services. The department offers programming which encompasses the competitive, passive, social, cultural, and instructional aspects of recreational activity. In addition, UCLA Recreation manages 15 of the University's recreational and athletic facilities offering recreation, sport, and numerous multi-use options for student and university events.

1.When necessary, take immediate action to ensure safety, security and appropriate behavior of building occupants and visitors.

2. Direct, counsel and interact with diverse user groups including intake and management of special guests recommended by various departments on campus.

3. Provide information to Manager, Program or Associate Director, and/or the Departmental management regarding consistent or unusual problems and/or complaints. Enforce policies and participant expectations.

4. Work the front desk or act as operations supervisor when needed. Act as onsite emergency contact for the facilities as assigned.

5. Conduct a daily walk through of the John Wooden Center, and coordinate with the Manager and/or facility staff on custodial, repair, and other facility maintenance issues.

6. Perform routine facility inspections to ensure safety and maintenance of the building.  Document facility needs and assist with submitting Facility Service Requests (FSR).

7.Perform routine checks of all equipment to ensure safety. Coordinate with departmental and interdepartmental maintenance divisions and appropriate vendors to execute a comprehensive maintenance program of all equipment and the facility. Develop systems for preventive maintenance as well as acute maintenance issues.

8.In conjunction with the Manager, recommend appropriate fitness and sport equipment and programs to meet diverse needs of participants.

9.Provide emergency response, first aid and CPR training for Fitwell staff and the department as needed.

10.Cross checking schedules in computerized calendar (EMS) to ensure no competing events are scheduled.

11.Monitor cleanliness and functionality of all facilities and other venue areas with an awareness towards safety and visual attractiveness.

12. Act as an outreach point person in the facility to ensure details and updates regarding any and all departmental events, registrations, campaigns, sponsor activations, program and facility information are disseminated appropriately.

13. Meet with supervisor and building staff regularly regarding status of events from planning to wrap-up.

14.Assist in the coordination of the quarterly locker clearance and communicate the clearance with all members.

15.Collect, review and input all reports in Connect 2 (accident/injury, incident). (E) 16. Maintain current knowledge of the University, its environment, purpose and affairs and be prepared to respond to appropriate issues.

Customer relations and sales support

1.Provide support for opening/closing cashiering operations including access to the safe, issuance/close out of cashier drawers and preparation of reports following all established University business and finance procedures relating to cashiering.

2.Oversee student cashier duties including shift open/close processes, sales transactions, customer service, and other cashier duties. Ensure that all processes and procedures in Sales & Service/Cashiering meet BUS-49 and audit guidelines.

3.Work closely with Main Cashiering Office to ensure protocol is being followed, University resources are being safeguarded and that all employees performing cashiering functions are appropriately trained and following established protocols.

4.Provide information and purchase guidance for recreation services including membership, instructional activities, private instruction, summer camps, and group sales. Initiate and complete sales transactions as appropriate.

5. Suggest and implement program enhancements to streamline operations to improve efficiency and provide better service. Implement department quality control measures system for maintaining safety and security standards.

6. Assist in providing facility access for access to UCLA Recreation from special groups hosted by the campus.

Staff Development and Management

1.Hire, train, develop and manage 75+ part-time staff for building operations, strength and conditioning facility staff, sales and customer service, and event and activity set-up and strikes.

2. Provide direct supervision on a daily basis to student staff concerning duties, goals, policies, procedures and regulations.

3.Educate and train staff on general safety guidelines, industry standards, industry best practice, and industry protocol to eliminate potential hazards and ensure the safety of all patrons and participants.

4. Train appropriate staff in the correct and safe usage and set-up of all fitness, sport and building equipment.

5.Train and/or ensure the training of staff in CPR, First Aid, and emergency procedures and perform periodic checks to ensure the retention of such information.

6. Ensure staff maintain current certifications, specific to their assignments, and keep appropriate records.

7. With support of Manager and Program Director, provide motivation, team building, reinforcement, specialized training, counseling and disciplinary action for part-time staff.

8. Review timesheets, audit prepare and submit payroll to departmental payroll coordinator for submission to campus payroll adhering to strict timelines.

9. Conduct quarterly staff meetings. Conduct monthly in-service trainings and online training for part-time staff. Assess, revise and deliver facility staff trainings and assess student development needs.

10. Assist in the development and implementation of a quality control system for maintaining safety and security standards.

11. Working in concert with Manager and student development team, create a student development program providing student staff with continual professional development opportunities.

12. Due to the seasonal nature of part-time student employees, plan for high turnover in hiring and scheduling of staff.

13. Prepare, monitor and reconcile the personnel budget for student staff.

Other

1.Attend and participate in regular staff meetings, facility manager meetings, and departmental and divisional committee meetings as assigned. Participate in department or university-wide committees or work groups to contribute to the advancement of the University's mission, as requested or assigned.

1.Compile and monitor (for consistency and accuracy) facility attendance statistics.

2. Prepare correspondence, statistical reports, projects, emails, calendars and occasional presentations.

3.Receive deliveries, ensure secure safe keeping of materials, make prompt notification to staff, and follow up to ensure items are claimed. Maintain appropriate documentation on orders and deliveries.

4. Order and maintain inventory of all approved orders for office, custodial, first aid and other relevant supplies and prepare and process all Bruin Buy/PAC/Pro-card orders, Recharge Order Requests, Recharges, and Invoice payments.
