POSITION SUMMARY | The Program Manager plays a critical role in advancing the mission of the UCLA Fielding School of Public Health by providing high-level programmatic and analytical support directly to the Dean. This position serves as a central hub for the Dean's Office, ensuring seamless operations by managing key initiatives, coordinating complex schedules, and executing high-impact events , and may provide administrative support to the Dean and Associate Deans. Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Program Administration and Data Analysis | 1. Manage key initiatives of the Dean’s Office. 2. Design, execute, and oversee strategic programs originating from the Dean's Office. 3. Manage programmatic work to ensure internal and external deliverables are met. 4. Implement best practices for project work. 5. Facilitate with Development in managing outgoing institutional commitments and work with appropriate internal and external entities. 6. Facilitate with the School's Development team to assure that all gift and university documents are prepared correctly and work with the Finance team to ensure funds are distributed in a timely manner. 7. Ensure that gift funds remain in compliance with University donor policies, procedures, terms, and conditions. 8. Facilitate with Development on gift reports as required. 9. Draft and edit reports, briefings, and executive summaries. 10. Acquire primary and secondary data from internal and external sources necessary for analysis and meaningful interpretation. 11. Manage and maintain collaborative relationships with internal and external partners for the duration of the project. 12. Gather, analyze, and synthesize relevant data to support executive decision-making and track the progress of ongoing initiatives. 13. Ensure ongoing monitoring of project tasks and support effective problem-solving. 14. Plan and participate in project meetings. 15. Analyze complex information, problems, situations, practices, and procedures and identify and recommend logical alternatives for problem resolution. 16. Manage good communication with external stakeholders, including funders, potential funders, advisory board members, academic partners, and others. | 50% | Executive Administration and Leadership Collaboration | 1. Provide management and executive support to the Dean, including scheduling and travel, and administrative support. 2. Manage complex calendar and scheduling to maximize the efficiency of the office's operations. 3. Partner and collaborate with Dean’s Office leaders to ensure alignment and execution of school-wide objectives. 4. Independently resolve problems and issues pertaining to the Dean's Office. 5. Serve as a reliable and flexible backup to current administrative staff within the Dean's Office to guarantee continuity of daily operations. 6. May provide administrative support to the Associate Deans. | 35% | Event Management | 1. Manage, plan, and deliver high-impact events originating from the Dean's Office. 2. Collaborate with other school central units to assist with large-scale events like Orientation and Commencement. 3. Coordinate scheduling of attendees, including invitations, catering as needed, all necessary travel arrangements and accommodation arrangements as necessary. 5.
