POSITION SUMMARY

Serve as the Program Manager, Outreach and Development for the International Institute's Center for Terasaki Center for Japanese Studies (TCJS). Responsible for development growth in Japan and the US, contract and grant solicitation and outreach and fundraising activities.  Assist the TCJS Director in developing long-term academic plans for the Center. Represent Director in Japan and in meetings with Japan Foundation, delegations of visitors from Japanese Universities, International Institute, and administrators of other campus offices. Oversee the Center's Global Fellows program.  Manage and create website content and social media outreach strategies. Serve as liaison with the Japanese Consulate, universities, community groups, other campus units, the media, and distinguished visitors of the Center. Advise on content for workshops, seminars, conferences, and other special events in conjunction with the Director.


Department Summary

The UCLA International Institute educates students, supports scholarship on the world at UCLA and serves as a campus and community resource.

With a history dating back to 1958, the Institute is the central hub for global and area studies on campus. Its more than 27 centers and programs support innovative multidisciplinary research on specific world regions and pressing global issues. Its rigorous academic programs offer degrees in global studies, international development, global health, international migration and diverse regions and countries of the world.

The UCLA International Institute is directed by a senior management team led by the Vice Provost for International Studies and Global Engagement, two Associate Vice Provosts and two Assistant Vice Provosts.

The Office of the Vice Provost develops and implements UCLA’s global strategy, manages the university’s partnership agreements with foreign educational and research institutions, and represents UCLA to international constituencies and organizations.

1. Assist the Director in developing long-term academic plans for the Center, focusing on: the conceptualization of a Dynamic Japan and on the Center's role in building the academic infrastructure in Japanese Studies on the UCLA campus and in Japan under the Terasaki Center Global Initiative pilot program; the promotion and support of a number of related research initiatives; and assistance to Japan Studies faculty in their efforts to locate and develop funding sources for research projects.

 

2. Work for the promotion and support of a number of related research initiatives under the Global Initiative; and assistance to Japan Studies faculty in their efforts to locate and develop funding sources for research projects that will establish UCLA as a major center for research on contemporary Japan to form a Global Japan Network; jointly sponsored collaborative events, e.g. ArchAid Exhibits around the world.

 

3. Provide consultative assistance to UCLA faculty and graduate students and the general public on research and study opportunities in Japan, including travel preparation and cross-cultural communication to create a platform for developing the next generation of Global Nikkei.

 

4. Assist UCLA faculty and staff with the visits of Japanese government officials, major foundation representatives, private donors, and university officials and scholars, by providing information on visa issues, appropriate protocol, and special events, and fulfilling other special assignments.

 

5. Field phone calls and visits by students and faculty interested in events sponsored by the Center and Japan Studies courses on campus.

 

6. Represent Director in meetings with Japan Foundation, delegations of visitors from Japanese Universities, Institute administrators, and administrators of other campus offices.

 

7. Act on behalf of Director in making contacts with U.S. schools and universities, e.g., UC Berkeley, Harvard University, University of Chicago, etc., as well as with representatives of foreign universities and agencies, e.g., The University of Tokyo, Kyoto University, Ritsumeikan University, Keio University, Sophia University, Meiji University, Waseda University, Josai University, Doshisha University, Tohoku University and the Ministry of Education, Ministry of Foreign Affairs.

 

8. Conceptualize and design the format and text of Center promotional strategies.

 

9. Oversee major functions of travel, visiting global fellows, conference coordination, orders for supplies and equipment, facilities and other services, and equipment inventory.

 

10. Delegate assignments, monitor work flow, and evaluate performance.

 

11. Perform special assignments made by the Director and/or participate as a member of an organizational team working for the Dean to achieve goals that will benefit several or all units of the organization.

Program Development, Outreach, and Fund Raising Activities

1. Represent Director at professional meetings related to Center activities, e.g., faculty advisory committee meeting, and Scholarship selection committee meeting.

 

2. Be the first point of contact for the media, particularly Japanese TV and radio news stations, distinguished visitors, and other visitors to the Center, including representatives from funding agencies and prospective donors.

 

3. Serve as liaison with the local Japanese consulate, universities, community groups, and other campus units to coordinate and sponsor cultural activities. Establish and maintain, in consultation with and following approval of the Director, contacts in the diplomatic community, business sector, and local government. Attend appropriate events, as the Director deems necessary.

 

4. Represent Director in meetings and special events with private donors and take an active role in organizing two or more Japanese Studies donor support groups. Coordinate Center relations with the newly formed support groups and monitor annual membership pledges.

 

5. Plan workshops, seminars, conferences, and other special events in conjunction with Director. Assist in devising and implementing fund raising strategies in conjunction with Director and Development Office.

 

6. Assist the Center director in ensuring that the Center fulfills its role as official sponsor of Japanese students and scholars groups on the UCLA campus, e.g., the Japanese Graduate Student Association, the Interdisciplinary Monthly Workshop (graduate activities), and other Japanese orgs on campus (undergraduate activities).

 

7. Work with Japanese Studies faculty members to identify prospective donors/extramural agencies and to determine programmatic priorities for future funding. Elicit the cooperation of individual faculty for proposal preparation and to lead campus and city tours for potential donors.

 

8. Perform written and verbal translation from Japanese/English and vice versa, as needed on behalf of the Director and in individual and group meetings with visitors and current and prospective donors.

 

9. Make brief speeches and other formal presentations to government leaders, diplomats, and donors, in Japanese language, as requested by the Director.

 

10. Devise logistical plans for international conferences in consultation with the Director.

Website Maintenance

1. Research and compile information for website. Take photos, edit photos, and upload all related media files.

 

2. In collaboration with Center Director, write and edit articles for use on website. Ensure that all documents are submitted in correct format.

 

3. Establish and maintain direct contact with funding agency representatives (e.g., President of Japan Foundation, Program Officers of UC Pacific Rim Research Grant Committee) in an effort to raise Center's profile as a global hub for Japanese Studies.
