GENERAL DIRECTION - Indicates that the incumbent receives guidance in terms of broad goals and overall objectives and is responsible for establishing the methods to attain them. Generally the incumbent is in charge of an area of work, and typically formulates policy for this area but does not necessarily have final authority for approving policy.


POSITION SUMMARY

The Band Assistant Director is an experienced professional with extensive background in Marching Band organizations. The incumbent applies organizational and instructional theories relevant to the unique culture, structure, and performative support to the UCLA Marching and Varsity Bands. This role involves a split focus between Instructional/Program Support (55%) and Logistics/Operations (45%). The Assistant Director acts as a primary instructional leader and operational manager, prioritizing tasks according to established department guidelines and University policies.

 

Position is supervised by and reports to the Director of the UCLA Marching and Varsity Bands. The Assistant Director prioritizes and completes ongoing tasks following established department guidelines and University policies. Assignments are made by the Director and Associate Directors of the UCLA Marching and Varsity Bands and the Department of Music Performance, Education & Composition Manager, with review and guidance as required.

 


Department Summary

The Department of Music Performance, Education & Composition provides comprehensive training in Western classical music through rigorous academic study, practical musicianship, and individualized artistic growth. Undergraduate programs emphasize a blend of performance practice, music theory and history, one-on-one instruction with experienced artist-teachers, and collaborative ensemble work that equips students for professional musical careers. Graduate study expands into advanced degrees in performance, composition, conducting, and jazz performance (in partnership with the Herbie Hancock Institute of Jazz Performance at UCLA).

 

The department fosters collaboration between performance and scholarship and supports transformative engagement with artistic communities locally and globally. Students benefit from a rich array of performance opportunities and masterclasses with internationally recognized guest artists, enhancing both their technical mastery and artistic imagination.

 

The UCLA Marching Band is housed within the Department of Music Performance, Education & Composition at the Herb Alpert School of Music. Both the Department Manager and Department Chair maintain a vested interest in Marching Band operations.

 


Key Responsibilities and Essential Functions

1. Attend and assist with band rehearsals, performances, and shows.

2. Facilitate marching rehearsals, offering feedback on marching techniques, field placement, musical development, and auxiliary equipment.

3. Assist with or run marching/music rehearsals in coordination with (or in the absence of) the Director and/or Associate Director.

4. Assist with or run sectional and small group rehearsal in coordination with (or in the absence of) the Director and/or Associate Director.

5. Coordinate student attendance, drill assignments, and alternates.

Programmatic Support

1. Collaborate with professional and student staff.

2. Providing support for marching, musical, and logistical changes in show learning, production, and performance.

3. Assist with the development or writing of drill formations, musical arrangements, choreography, and marching technique based on expertise, interest, and program needs.

4. Utilize relevant performance technology, such as Ultimate Drill Book.

5. Assist with the oversight and mentorship of student staff, including (but not limited to) section leaders, rank leaders, and staff crews (uniform, equipment, recruiting, and library).

Administrative Support

1. Serve as the point of contact for student hiring, onboarding, training, and payments with University and School of Music HR colleagues.

2. Process payments using University systems (e.g., BruinBuy Plus) and ensure timely workflows for purchases and requisitions.

3. Assist with budget preparation using the expense database.

4. Maintain complex calendars, schedule meetings, and function as the initial point of contact for office calls and mail.

5. Prepare gift reports and assist with fundraising materials in coordination with Development offices.

6. Oversee the band’s website, updating information and layout.

7. Assist with producing, distributing, and archiving publicity materials.

8. Collaborate with professional and student staff to develop and grow social media presence.

Operations

1. Coordinate Band Camp logistics, including meals, facilities reservations, and housing.

2. Coordinate facility needs with UCLA departments during the summer, Band Camp, and the academic year.

3. Oversee Instrument inventory (assignments, repairs, quality control).

4. Manage uniform and official UCLA apparel inventory, including ordering and maintenance.

5. Provide support with Athletics and community events hosted on/off campus, including non-regular season activities.
