POSITION SUMMARY

Under the direction of the Food & Beverage Director, the Lodge Keeper is responsible for the cleanliness, attentiveness, and preparation of the entire Main Lodge and all outlying meeting rooms. Perform guest service as requested. Prepares the meeting and social areas, set up audio visual equipment, handle social supplies, and make minor comfort level adjustments. Assists with set up Audio-Visual equipment and trouble-shooting technical problems to accommodate approximately 30,000 guests during the conference season and 4,000 guests during our BRUIN WOODS season. Problems include audio or video issues involving A/V racks, projectors, microphones, cables, mixers, PCs, CD/DVD players, and other A/V equipment as required. Problems include ventilation, lighting, room configuration, room cleanliness, parking, program materials, and catering.Must be able to work nights, weekends and holidays.


Department Summary

UCLA Lake Arrowhead Lodge is a unique Southern California meeting and retreat venue. Located high in the pine-studded San Bernardino Mountains on the tranquil shores of Lake Arrowhead, our 50-acre lodge provides meeting space and accommodations for groups from September through mid-June. During the summer, the Bruins Woods Family Camp program runs for ten consecutive weeks, with up to 80 families attending each week.

Meeting and Social Rooms Set Up

ʉۢ Coordinates with Sales, Food and Beverage department, Information Technology, Maintenance & Grounds, and Guest Rooms departments to ensure that both planned and unplanned catering, maintenance, technology, parking and cleaning needs of the events are addressed.

ʉۢ Read, understand, and annotate event orders as required to provide clear and usable work orders.

ʉۢ In coordination with the Lead Lodgekeeper ensures BEOs are executed completely by managing workloads of other Lodge keepers.

ʉۢ Using careful handling, set out tables and chairs and other enhancements as requested, making sure they are attractively arranged and clean.

ʉۢ Set up audio visual equipment and monitor usage as needed to provide maximum guest service and care of equipment.

ʉۢ Store chairs, tables, and audio visual equipment in specified locked storage areas when not in use.

ʉۢ Visit meeting rooms during meal periods to straighten chairs, pick up trash, and make room set-up adjustments.

ʉۢ Set up social rooms by stocking them with clean glasses, chilling social supplies, and providing supplies needed for social gatherings.

ʉۢ Stock, transport, and arrange social supplies provided by each conference group.

ʉۢ Set the temperature, lighting, and atmosphere adjustments conducive to comfortable conferencing and socials.

ʉۢ Keep meeting and social rooms secure when not in use by carefully following established locking procedures.

ʉۢ Work independently in setting up audio - visual equipment as outlined on BEOs.

ʉۢ Work independently in troubleshooting technical problems including A/V issues involving A/V racks, projectors, microphones, cables, mixers, switchers, PC's, CD/DVD players, and other A/V equipment.

ʉۢ Assist with event planning special setups to ensure best guest experience.

ʉۢ Work with Maintenance department for meeting and facility repairs to maintain high level of standards and service.

ʉۢ Read and learn the information which comes out of the weekly event order meeting so that maximum understanding can be expected.

ʉۢ Wear and respond to radio system which keeps Lodge Keepers and other departments in close touch.

ʉۢ Develop professional and cooperative working relationships with conference coordinators, guest rooms department, dining room supervisor, front desk staff, and maintenance supervisor so as to coordinate circumstances which impact multiple departments, including performing tasks not normally assigned when needed.

ʉۢ Maintain an accurate communication system with other Lodge Keepers so as to limit duplication of effort.

Clean Main Lodge and Meeting Rooms

ʉۢ Ensures the public spaces of the UCLA Lake Arrowhead Lodge are maintained and cared for, allocating tasks and communicating with Maintenance and Grounds, Food and Beverage departments, and Guest rooms when needed.

ʉۢ Vacuum carpets throughout the Lodge, spot cleaning as necessary.

ʉۢ Clean bathrooms, including fixtures, floors, stalls, and tile.

ʉۢ Empty trash using standard recycling practices.

ʉۢ Dust mop wood floors.

ʉۢ Wash windows.

ʉۢ Sweep porches and decks and clean patio furniture.

ʉۢ Stock firewood and light fireplaces, cleaning them as necessary.

ʉۢ Organize and clean supply closets.

ʉۢ Clean offices and staff areas.

ʉۢ Other duties as assigned.

Guest Service

ʉۢ Communicate with event planners to ensure their needs are met and any event changes are communicated to the sales team and executed in a timely manner.

ʉۢ Assist guests with individual room heaters including lighting pilot lights.

ʉۢ Rearrange room set-ups as requested, exhibiting maximum flexibility.

ʉۢ Fulfill a variety of requests, specific to each event, in order to provide the highest quality guest experience possible.

Other Duties

ʉۢ Perform deep cleaning assignments during slow guest periods.

ʉۢ Run errands including buying or picking up supplies, etc., as assigned through designated channels.

ʉۢ Count, sign for, and put away supply deliveries.

ʉۢ Assist Lodge Department with tasks not normally assigned, including Night Lodge functions, when needed.
