POSITION SUMMARY

Reporting directly to the Assistant Director of Unified Access Services, the YRL Evening and Weekend Assistant (YEWA) performs all Charles E. Young Research Library functions and supervises student staff. Major duties include circulation desk activities (including: checkout/in, renewals, requests, answering patron questions, and enforcing library policy), supervision and training of 20-30 FTE student staff, public service, handling billing questions, processing course reserves, coordinating and conducting lost and missing item searches, stacks and item record maintenance, library card issuance, responding to user complaints and safety and security issues, and basic technical processing. Responsible for ensuring all access and public service functions are efficiently performed and coordinated nights and weekends, in the absence of other Access Services staff. Serves as a UAS representative for the LibAnswers reference support team. Performs regularly scheduled hours responding to tickets triaged for UAS/YRL. Monitors the department's shared email accounts and responds to patron inquiries. Assists in the maintenance and update of UAS content on the UCLA Library webpages. Works closely and collaboratively with other UAS evening and weekend staff to ensure safe and secure operations, and to provide emergency backup coverage for all libraries reporting to the University Librarian. Modifies work schedule when a need for coverage arises. Works with UAS colleagues, Community Services Officers, and UCPD to report and resolve safety and security issues in the libraries. Schedule: Saturday 9:30am-6:30pm, Sunday 12:15pm-9:15pm, Monday-Thursday 1:15PM-10:15PM


Department Summary

Unified Access Services (UAS) employs 32 FTE in all eight campus libraries reporting to the University Librarian, responsible for providing circulation services, patron registration, shelving and stacks maintenance, interlibrary loan, course reserves, building maintenance, and monitoring of library safety and security. In addition to provision of access through traditional means for print library materials, UAS during the COVID-19 pandemic implemented numerous digitization and delivery programs designed to support remote learning and instruction. UAS works with UCLA facilities Management to identify and address building issues. UAS collaborates with UCPD and Community Service Officer (CSO) offices to create a safe environment for research. The UAS department serving the Charles E. Young Research Library annually circulates 200,000 volumes, handles over 60,000 interlibrary loan requests, and maintains the 2.2 million volume collection spread out over six floors. The department also handles access services duties for the East Asian Library, and makes regular referrals to the Distinctive Collections and Teaching, Learning, and Research Divisions.

Supervision of Student Staff

1. Supervision of student staff: assists with recruitment, hiring, onboarding, task assignment, & payroll. As needed, serves as backup liaison with Library HR on payroll, forms for hiring & separation. 2. Monitors & evaluates performance, attendance, & work quality/quantity. Works with supervisor & fellow staff to provide counseling, mentoring, & corrective action as needed. 3. Trains student staff & oversees execution of all access services functions: quality customer service, circulation desk services, use of automated library systems, stack maintenance, & coordination with relevant units to maintain an effective work environment. Creates training documentation as needed. 4. Assists with resolving scheduling issues when they arise, including identifying last-minute replacement coverage.

Access Services Operations

1. Provides public service at the circulation desk including checkout/discharge, library card issuance, and answering user policy & procedural questions. 2. Answers billing inquiries, consults with the supervisor on resolution, & processes replacement items. 3. Resolves user complaints, interpreting & explaining library access/use policies & borrowing privileges. 4. Coordinates with UCPD, CSO, & fellow UAS staff to report/resolve serious safety & security issues, in accordance with Library & University Policy. 5. Provides additional or emergency desk coverage as needed due to staff shortages in YRL, Rosenfeld, or other UCLA Libraries reporting to the University Librarian. Modifies work schedule when coverage needs arise. 6. Assists with opening & closing procedures as appropriate.

Course Reserves & Stacks Maintenance

1. Processes course reserves materials for use in-person and on UCLA’s Learning Management System, BruinLearn in conjunction with the Library’s reserves platform, Alma/Leganto. 2. Identifies and purchases reserves materials, liaising as appropriate with librarians and Acquisitions unit. 3. Acts as a unit contact for Print Acquisitions, Cataloging and Metadata, and Preservation units. Works collaboratively to handle bindery and/or book repair issues, purchases, and item withdraws or maintenance. 4. Liaises with ILL and SRLF departments and troubleshoots request issues. 5. Works with supervisor to coordinate, execute, and perform shelving, shifting, weeding, and shelf-reading projects.

Building Responsibilities

1. Monitors the building regularly to identify & report issues. Submits Trouble Calls to UCLA Facilities for routine building problems. 2. Responds to user reports about building conditions, emergencies, & security/safety incidents. Reports building issues to Library Building Services. 3. Enforces library policies & manages patron conduct issues, including issuing warnings, asking patrons to leave, & calling UCPD or CSO when necessary. 4. Trains & supervises student staff on patron conduct procedures, including identifying, communicating, & escalating appropriately. 5. Establishes & maintains effective communication with CSOs and UCPD. 6. Performs light troubleshooting of library equipment. Submits HelpDesk tickets & maintenance requests as needed.

1. Monitors YRL and Access Services shared email accounts and answers departmental phone lines. Responds to questions and patron requests; triaging when appropriate. 2. Serves as a UAS representative for LibAnswers. Performs regularly scheduled hours responding to tickets triaged for UAS/YRL. 3. Compiles operational statistics and submits reports as requested.
