POSITION SUMMARY

Reporting to the Powell Access Services Lead (PASL), the Powell Evening and Weekend Assistant (PEWA) oversees all core circulation and public service operations for Powell Library. Major duties include circulation desk activities, responding to user complaints and safety and security issues; handling billing questions; stacks and item record maintenance; library card issuance; and basic technical processing. Serves as a UAS representative for the LibAnswers reference support team. Performs regularly scheduled hours responding to tickets triaged for UAS/Powell. Monitors the department's shared email accounts and responds to patron inquiries. Responsible for ensuring all access and public service functions are efficiently performed on nights and weekends. Works closely and collaboratively with other Unified Access Services evening and weekend staff to ensure safe and secure operations, and to provide emergency backup coverage, for all libraries reporting to the University Librarian. Collaborates with the campus police department and community service offices to ensure incidents are handled swiftly and works with supervisor to recommend procedure adjustments to accommodate safety concerns. In the event of short-staffing on evenings and weekends, modifies work schedule to ensure appropriate coverage during those hours. Coordinates the opening and closing procedures for the Powell Library on evenings and on weekends; performs opening and closing procedures in the absence of student staff. The PEWA works collaboratively to hire, train, supervise, manage, schedule, and evaluate the work performance of 12 FTE student employees (approx. 40 students). PEWA Regular Schedule: Sunday 9:30am-6:30pm, Monday 1:00pm-10:00pm, Thursday 1:00pm-10:00pm, Friday-Saturday 9:00AM-6:00PM


Department Summary

Powell Library has more than 125,000 books that serve the diverse library needs of UCLA's 30,000 undergraduates, their faculty, and other library patrons and visitors. Powell Library's staffing includes 6 Full Time Equivalent (FTE) librarians, 6 FTE staff members, and about 16 FTE student assistants. The Access Services Department provides information about the UCLA Library's services and collections, services for circulation, reserves, stacks maintenance and retrieval, billing, telephone information, and building and mailroom operations. Access Services also provides support for a wide range of outreach events. Powell Library Access Services section is one of the busiest public service units within the UCLA Library with an annual turnstile count close to 1.5 million users, 100,000 circulation transactions year, 35,000 information and reference questions answered each year, and 100,000 items shelved each year. The department is part of a larger Unified Access Services organization working together to provide service to 8 libraries on the UCLA campus.

 

The Enterprise-Wide Operations section of Access Services is responsible for coordinating and executing annual deposits of materials from the libraries to the Southern Regional Library facility, planning and executing large-scale shifting and collection relocation operations, pulling and replacing materials for various digitization projects, receiving shelf-ready materials at various libraries, and coordinating course reserves policies at the UCLA Libraries.

1. Collaborates to update emergency plans, provide emergency backup assistance and/or coverage during evening & weekend hours for all libraries reporting to the University Librarian. 2. Works closely & collaboratively with Unified Access Services staff, Community Service Officers & UCPD to ensure that patrons follow the Rules and Code of Conduct in the Libraries. 3.Performs frequent walkthroughs of the building and reviews security camera footage to document/ monitor safety & security issues. 4. Collaborates closely with the Community Service Officer Supervisor to inform, train, & direct officers working in the building. 5. Coordinates with officers and department leadership as appropriate to report & resolve serious safety & security issues, in accordance with Library & University Policy.

Access Services

1.Oversees daily operations for Powell Library’s circulation & service point operations. 2.Assist in monitoring of department's email account & LibAnswers chat. Sets priorities, assigns, monitors, delegates & reviews work performed by student staff. 3.Anticipates, manages & resolves library user complaints, interpreting & explaining library policies including library access & use policies, & borrowing privileges. 4.Represents library for billing, disburses bills & fines, responds to billing inquiries, explains fines, & uses discretion to cancel or reduce billing charges. 5.Collaborates w/other depts. within Powell to maintain & ensure accurate triaging of services. 6.Provides additional or emergency circ. desk coverage as needed due to staff shortages in Powell & other UCLA Libraries.

Supervision and Training

1. Supervision of 12 FTE student staff (approximately 40 student employees): recruitment, hiring, onboarding, regular 1-on-1 & team meetings, mentoring, disciplinary counseling, and payroll. 2.Liaises with Library HR on payroll, forms for hiring & separation, & other areas as needed. 3.Trains staff & oversees execution of quality customer service, circulation desk services, use of automated library systems, & coordination with relevant units to maintain an effective work environment. 4.Ensures that Powell library is properly staffed by managing & overseeing student employee schedules for the Powell Access Services Team. In the event of short-staffing, modifies work schedule to ensure appropriate coverage during those hours.

Building Responsibilities

1.Surveys the building to ensure all staff and public areas are operating as expected. When issues arise, evaluates problems, contacts appropriate service centers, & notifies supervisor of the issue. 2. Works with the Access Services Lead and Manager to assess & make recommendations for modifications to hours of operation. 3. Gathers and maintains operational statistics by assigning and overseeing student staff tasks (e.g., circulation counts, gate counts, etc.). Frequently analyzing this data to make recommendations to the Powell Lead and Manager in procedural changes and adjustments to library hours.

Stacks Maintenance and Collections

1. Supervises and assigns student staff to stacks maintenance duties including shelving,

shelf-reading, shifting, collections projects, and weeding. 2. Monitors priorities and adjusts student work assignments as needed. 3. Performs stacks maintenance duties as needed in the absence of student staffing.
