POSITION SUMMARY

Under the direct supervision of the Associate Director, the Outreach & Event Coordinator supports the planning, execution, and evaluation of SPCE programs, initiatives, and events. This role includes comprehensive program and event management responsibilities, such as developing and maintaining a master programming calendar; coordinating logistics; overseeing event operations; and ensuring the seamless delivery of both in-person and virtual engagements. The incumbent will design and implement assessments, analyze data to measure program effectiveness, and provide strategic recommendations to support continuous improvement. The position also maintains and updates the SPCE website using University templates to ensure accurate and timely communication of programs and resources. In addition, the incumbent will strengthen and support existing partnerships by leveraging outreach resources and promoting college knowledge throughout the community.

 

The Outreach & Event Coordinator will assist in facilitating college-going workshops and serve a central role in training and supervising student staff. Responsibilities include preparing student staff to effectively engage K–14 students and families, participate in student panels, and represent UCLA in a professional and inclusive manner. The incumbent will also train student staff on program implementation, workshop delivery, and related engagement functions to ensure high-quality, consistent participant experiences.

 

The ideal candidate is energetic, innovative, and detail-oriented, with a demonstrated commitment to fostering inclusive, student-centered engagement. They must be solutions-oriented, adaptable, and comfortable working in dynamic environments. Availability to work evenings and weekends as needed is required. The position also requires reliable local travel using personal transportation, including visits to multiple community and school sites within a single day during regular school hours. Department Summary

UCLA Strategic Partnerships and Community Engagement (SPCE) cultivates meaningful relationships with community organizations, schools, civic groups, and corporate partners to expand knowledge and understanding of competitive college admissions among talented students from a wide range of backgrounds.

 

SPCE serves as a bridge between UCLA and communities across California, offering innovative, accessible programming for students and families. Through on-campus, off-campus, and virtual experiences, SPCE primarily engages 8th–12th grade students who have faced barriers to educational opportunity—including those who are first-generation college-bound, from low-income households, in foster care, living in rural areas, or attending under-resourced schools—while welcoming all students and families interested in learning more about UCLA and higher education.

Support the development and implementation of college-going workshops, presentations, and student panels delivered of workshops, panels, and engagement initiatives--sustaining strong program visibility within partner schools and communities. Plan and execute outreach programs that promote college awareness and readiness for K–14 students and partners. Maintain a comprehensive programming calendar to ensure timely delivery and sustained visibility in partner schools and communities. Provide guidance to students and families on college preparation and resources, and coordinate event logistics, stakeholder communication, and materials to ensure seamless program delivery.

Communications & Program Assessment

Develop and implement clear, consistent communication strategies to recruit and enroll K-14 students for program participation. Oversee pre- and post-program communications to participants and their families using CRM tools. Maintain and update the SPCE website using University templates to ensure accurate, accessible, and timely information. Design and implement assessment tools to evaluate program effectiveness and participant outcomes. Prepare reports and summaries highlighting program outcomes, trends, and areas for improvement. Utilize assessment findings to develop strategic recommendations that enhance program quality, outreach effectiveness, and participant engagement.

Student Development and Management

Participate in the recruitment, hiring, onboarding, training, and evaluation of student employees who support office operations and programming efforts. Assign and monitor student staff responsibilities based on program priorities, timelines, and operational needs to ensure effective program delivery. Supervise, mentor, and provide ongoing feedback to student employees to promote accountability, performance excellence, and professional growth. Build student staff competencies in workshop development, event planning, public speaking, and presentation skills to ensure high-quality program implementation. Prepare student ambassadors to confidently represent UCLA in outreach settings, including facilitating workshops, serving on student panels, and engaging K–14 students and families.

Create infographics to illustrate data findings. Assist in the writing of quarterly and annual reports that illustrate the work that has been conducted, including survey results and recommendations.
