POSITION SUMMARY | Under supervision of the Assistant Director of Human Resources, provide administrative, project, and analytical support for HR processes and functions across Student Affairs. Works with the Assistant Director, HRBPs, and HR Generalists to process transactions, assistant departments with recruitment efforts, onboard employees, develop and maintain job descriptions, provide general guidance on personnel policies and procedures, facilitate general benefits communication, offboard employees, and maintain employment records. Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Human Resources Administration | • Review and implement HR policies, contracts, procedures, and best practices for addressing human resource matters. • Offer guidance to supervisors on various HR issues such as salary analysis, training, payroll, benefits, onboarding, and routine employee relations issues. • Collaborate with HR leadership to identify problems, propose solutions, and refer employees to specialized services when necessary. • Aid in the onboarding and offboarding processes, handling system transactions efficiently. • Assess current HR processes, seeking improvements, and establishing standardized methodologies. • Conduct research, analyze data, and prepare reports and documents. • Manage both digital and physical personnel files effectively. | 50% | Employment/Personnel Management | • Provide administrative and analytical aid for personnel actions, including assessing proposed actions, preparing reports, and ensuring adherence to campus policies. • Offer guidance to supervisors on completing and submitting employment forms, overseeing approvals and tracking. • Generate, review, and distribute accurate employment documents promptly. Coordinate mass hire payroll processing for student staff, managing onboarding paperwork and conducting hiring presentations. • Input employment data into the department's database and reconcile with campus systems regularly. • Review incoming compensation requests for completeness, collecting missing information. • Process personnel and compensation actions promptly in the university system. • Act as a liaison with Central HR to resolve issues as needed. | 20% | Payroll Processing and Timekeeping | • Oversee payroll processing and timekeeping for departments, overseeing leave accruals. • Act as the main processor of personnel/payroll transactions via UCPath, ensuring timely entries in line with University policies. • Serve as the departmental liaison for the work-study program, handling paperwork submission and data entry for work-study positions. • Monitor and track work-study fund utilization and communicate promptly with supervisors about funding balances for their employees. | 15% | Benefits | • Provide guidance to employees on health, welfare, and retirement benefit programs, including eligibility, enrollment, and available plan options. • Advise employees on leave of absence policies and procedures, ensuring timely completion of required paperwork, notices, certifications, and leave designation in UCPath. • Act as a backup for Worker's Compensation procedures, aiding with paperwork and maintaining claim records. • Share University benefits updates, including open enrollment and changes. | 10% | Administrative and HR Services Support | • Orient new staff on HR policies, procedures, and benefits. Aid in developing and updating departmental HR information, including manuals and intranet documents. • Draft, edit, and format HR correspondence and reports, handling confidential materials. • Serve as Parking Coordinator, managing allocation, permit distribution, lottery coordination, form completion, and attending meetings/training. • Maintain campus directories for relevant departments. • Attend all required training as designated by the Assistant Director of HR, including multi-day training at off-site locations that may require overnight stays. | 5% | | | | | |
