POSITION SUMMARY

Bring your drive for fundraising, abilities to engage and strong communication skills to join us as the Associate Director, Development, UCLA Intercollegiate Athletics Development Department. In this role, you will be responsible for developing, implementing and overseeing strategies for the identification, cultivation, solicitation and stewardship of  donors at multiple giving levels for facility improvements, endowments, and annual fund initiatives.  You will assess and articulate goals and priorities for increasing support for Athletics. You will work collaboratively with Athletics Development Officers to determine and establish long and short-term goal objectives for major gifts, planned gifts, endowments, special projects, capital projects, and high-level annual fund gifts in Los Angeles area and the state of California. As the Associate Director, you will work with volunteer committees and organizations to identify potential supporters for Athletics and develop strategies to engage those individuals, corporations, and foundations. You will regularly interact with prospects and donors through personal meetings, attendance at special events and UCLA athletic competitions, telephone conversations and correspondence. In addition, as the Associate Director, Development, you will work in conjunction with the Director of Special Events on occasional event management for the UCLA Athletics Development Department. Prospect and Donor Cultivation

 1. Formulate and implement cultivation strategies for individuals, corporations and foundations to address the priority assigned programs for resource development. (E) 2.              Organize volunteers, individually and through committees, to sponsor and assist with prospect cultivation activities. (E) 3.              Plan, supervise and conduct events such as lunches, lectures, and receptions for prospects, donors and volunteers. (E) 4.              Supervise maintenance of accurate and appropriate donor and prospect lists for invitation to special events. (E) 5.              Conceptualize, create and distribute appropriate documents and materials to promote areas of priority for development support. (E) 6.              Regularly interact with prospects and donors through personal meetings, attendance at special events and UCLA athletic competitions, telephone conversations and correspondence. (E) 7.              Create and disseminate donor contact reports on a weekly basis for prospect management and proper donor follow up. (E)

Prospect and Donor Solicitation

 1. Research and write solicitation documents such as general appeal letters, special solicitation correspondence, and individualized proposals. (E) 2.              Determine appropriate solicitation strategies for prospects. (E) 3.              Schedule and conduct personal solicitations. (E) 4.              Research and prepare briefing documents on prospects and donors for Athletics. (E)  5.              Focus on current donors with efforts to increase current giving, securing leads for new donor prospects, and stewardship. (E) 6.              Collaborate with Athletics to identify naming opportunities and finalize signage for naming opportunities. (E)

Prospect Identification

 1. Identify and qualify major-gifts prospects through rating and screening, prospect list segmentation and analysis, and one-on-one contact with donors and volunteers. (E) 2.              Create a portfolio of prospects for major gifts and maintain active awareness of at least 200 to 250 prospects at all stages of cultivation, solicitation, and stewardship. (E) 3.              In concert with Athletic Development staff, solicit prospects and current donors in the greater Los Angeles area, statewide, and out of state as assigned. (E) 4.              Responsible for 30-40 significant face-to-face donor solicitations, stewardship, and prospect meetings per month. (E) 5.              Work with volunteer committees and organizations to identify potential supporters for Athletics and develop strategies to engage those individuals, corporations, and foundations. (E) 6.              Develop strategies and programs to attract and identify prospective donors who are potential supporters for priority areas in Athletics. (E) 7.              Ensure that identified prospects for Athletics are added to appropriate lists to receive key campus publications. (E) 8.              Both independently and in conjunction with Development Research Office, execute prospect and donor research with discretion, using computer information systems, library reference materials, files and other university resources. (E)

Donor Relations and Stewardship

 1. Supervise gift acknowledgement process for contributions to Athletics, ensuring that timely and appropriate letters of thanks are sent to all donors. (E) 2.              Work with departments within Athletics to determine appropriate donor acknowledgement opportunities and events. Supervise organization of such opportunities and events. (E) 3.              Plan and supervise implementation of special events when appropriate to acknowledge donors of significant gifts. (E) 4.              Supervise annual reporting for all gift funds in Athletics. Supervise communication of gift fund uses and balances to donors annually. (E) 5.              Identify and advocate for feature stories about particular gifts in Athletic publications; advocate for feature stories about the department and its supporters in campus publications and press releases. (E) 6.              Accompany donors to athletic events as appropriate. (E)

Event Planning

 1. Plan and supervise implementation of special events for donor identification, cultivation and stewardship. (E) 2.              Attend events as appropriate; some work on evenings and weekends is required.(E) 3.              Supervise the design and printing process for event invitations and other materials. (E)  4.              Manage events staff. Supervise all facets of event planning, production, preparation and mailings; assembly of guest lists; and tracking and confirmation of responses. (E) 5.              When required, plan and execute events in collaboration with the Offices of Special Events and Protocol, Development Events, the Alumni Association and other campus groups and offices. (E)
