POSITION SUMMARY

The Williams Institute is seeking a Fundraising Manager who will coordinate and execute activities vital to advancing the mission and work of the Institute. The Fundraising Manager will be a key member of the Williams Institute's development team, responsible for supporting the Institute's frontline fundraising and development events. Working with the Institute's Development Director and other staff, the Fundraising Manager will identify and cultivate new individual and corporate donors, steward existing donors, plan and execute fundraising events, track donor engagement, and maintain donor records and profiles in the Institute's donor database. The individual will have primary responsibility for updating, maintaining, and creating processes within the Institute's donor database. Successful candidates will work collaboratively with staff across the Institute, display flexibility in tackling a range of tasks, and bring creativity and drive to the position.

 

Candidates must have a demonstrated record of fundraising success and knowledge of fundraising priorities and strategies and  must be a strong writer. Prior experience with a donor CRM is a must. Candidates should also have a passion for helping LGBTQ people and possess a high level of judgment in developing ambitious and mission-aligned programs. Familiarity with the LGBTQ movement, or LGBTQ law and policy, is a plus.

 

The Fundraising Manager will report to and receive general direction from the Development Director. The Fundraising Manager reports directly to the Williams Institute's Director of Development. The Fundraising Manager will act as a full member of the overall Williams Institute staff and must be a strong contributor to the mission and work of the Institute and be willing to help across teams and departments at the Institute as needed. The Fundraising Manger will also work closely with Institute advisory boards, external vendors and service providers, other UCLA staff and departments, and other stakeholders.

1. In collaboration with the Development Director and Executive Director, create and implement strategies to increase participation of new donors and encourage current and past donors to renew their giving at a greater level. (E)

In collaboration with the Development Director and Executive Director, identify, cultivate, and solicit prospects and donors by conducting personal outreach including emails, phone calls, and personal visits; identify legitimate prospects for support and secure funding from current or lapsed donors. (E)

3. Engage in donor stewardship, including by providing updates about the Williams Institute’s work, use of their gifts, and gift acknowledgment letters. (E)

4. Prepare materials and provide support for development-related activities such as: drafting and sending email communication; conducting research on alumni, friends, or foundations; acting as a donor liaison for those visiting campus or when attending Williams Institute events; assisting with day-to-day administrative tasks. 5. Assist in coordinating, planning, and scheduling meetings with the Williams Institute Founders Council and other advisory councils, including supervising logistics for these meetings. (E)   

6. Proactively work with UCLA External Affairs team to increase donors through prospect research and list building. (E)

Data Management and Analysis

1. Process and track all fundraising gifts to the Williams Institute, including by maintaining and updating donor records in CRM database; tracking all gifts, donor contacts, and opportunities; processing gifts (via checks, donor advised funds, and stock and wire transfers); and working collaboratively with larger UCLA External Affairs team members. 2. Provide updates for the Development Director and Executive Director on payments made, invoices sent, and donor gifts in through weekly reports. (E)

1. In collaboration with other Institute staff, establish and execute the short-term and long-term goals and strategies for fundraising within events, including by  setting fundraising targets, cultivating corporate sponsors, creating donor stewardship opportunities, engaging in targeted outreach to donors and corporate sponsors around events, stewarding individual and corporate donors through one-on-one relationships, and creating host committees for events (E)

2. Help plan, schedule and implement two large scale fundraising events in Los Angeles, our Williams Jazz Brunch and Annual Update Gala dinner, and four to five smaller scale events in New York, D.C., and other cities for prospect and donor development. (E)

3. Adhere to established timelines and checklists for events and programs and establish a meeting schedule with primary stakeholders to ensure all items move in a timely manner. Monitor activity and deadlines and report updates to the Director of Development. (E)   

4. In collaboration with other staff, select vendors and engage volunteers for development events, ensuring that all development events are executed at or under budget. Vendor selection includes scouting and securing facilities, catering, awards and event giveaways, AV, and other goods and services as needed. Final approval for all vendors will come from the Development Director and Executive Director. (E)

5. Work with the communications team and other staff to draft event and program agendas and communications. Act as lead, with the support of other staff, on the creation of ticketing sites through External Affairs, financial/budget/expense reports for events, event invitation lists, checklists, timelines, and run of shows. Assist in developing all correspondence related to event and event solicitation, including invitations and sponsorship packets and post-event acknowledgements. (E)   

6. With the support of other staff, provide day-of event management by supervising event logistics,  registration, and solicitation tables, including following established registration procedures and guidelines. Help oversee the use of volunteers, host committee members, and staff for registration. (E)

7. Create detailed run-of-show agendas for events and donor profiles to aid staff in donor stewardship (E)

8. Track trends and update team on event attendance, volunteer work, overall fundraising outcomes, and other data points that give direction to stewardship and outreach efforts. (E)
