POSITION SUMMARY

As a Fundraising Coordinator, you will build meaningful relationships with donors and colleagues by assisting with event and travel planning, scheduling meetings, drafting correspondence, responding to inquiries, and managing information. Our team is committed to excellent customer service that creates positive relationships and experiences for our donors, faculty, physicians, staff and alumni.

Key Responsibilities and Essential Functions

Fundraising Support

1. Provide program support for Director and staff; build and maintain constituent relationships; assist with donor ops activities as needed.

 

2. Under the direction of the Director and staff, implement activities and events for fundraising programs; input data and route donations/event proceeds on a timely basis.

 

3. Compile and maintain reports on cultivation and solicitation activities and results; provide information on program trends and basic analysis of data as needed.

 

4. Prepare materials for specific fundraising activities and/or assist in promotional efforts such as writing, speaking, telephoning, etc. as required; manage and prioritize in-coming communications for further action as needed.

5. Under the direction of the Director/Associate Director, assist with volunteer coordination/logistics, request for reports, coordinate mailings, schedule meetings with volunteers, etc.

 

6. As directed, conduct research and compile information to identify prospects and donors; manage prospect and donor records and databases as appropriate.

 

7. Assist with stewardship activities such as donor appreciation gifts, milestone acknowledgements, etc.

 

8. Work with gift processing and accounting departments to record, process, and acknowledge gifts.

 

9. Manage calendars, schedule meetings, coordinate and prepare travel itineraries.

Communications/ Special Projects

1. Assist with content, assembly and coordination of printed materials for large mailing projects for donors and prospects.

 

2. Complete, route and track Communication Services Request Forms for each communications projects.

 

3. Assist with and/or prepare a variety of communication pieces; marketing publications, and other fundraising materials to prospects and donors.

 

4. Maintain files for all communications materials for use by gift officers with donors and prospects; design or draft collateral in the absence of formal pieces, as requested.

Financial

1. Submit expense reports, vendor payments and perform other financial transactions and accounts payable responsibilities as needed.

2. Work with departmental fund managers to manage gift funds and streamline the processing of fund transfers. 

3. Monitor budget as needed and reconcile expenses against university ledgers.
