POSITION SUMMARY

Under the general direction of the Director Of Finance, the Financial Services Manager has responsibility for the operations of the Anderson School's Business Office. Manage a team of Fund Managers and work in concert with the Financial Reporting team to execute financial activity and contribute to the financial reports of the Anderson School of Management. The Financial Services Manager will perform the full complement of Fund Management functions, ensure the sound and timely execution of fund management activities, ensure excellent customer service, and implement best practices while seeking and implementing the best techniques. Fund Management duties include and are not limited to timely and appropriate fund usage, manage a variety of income and revenue streams, appropriate expense recognition, and transfers of activity. Incumbent will evaluate and streamline processes to optimize efficiency, create procedures and best practices, and manage the office's needs. The Financial Services Manager will also act as the resolution point for issues. Additional responsibilities include having a lead role in the annual fiscal closing of the school, manage gift fund activity of the school, assist in complex strategic planning and financial reporting, and other ad hoc reporting. Active participant during audits. Incumbent will develop and improve training materials and conduct ongoing training for new and continuing users of UCLA's financial systems. Act as Department Security Administrator, will assist the CFO in conducting annual reviews of systems access and controls, and participate in audits. Manage student workers and their duties. Other duties as assigned.

The Anderson School is a complex business unit with an annual $180 million operating budget that includes funding from self-supporting degree programs, contracts and grants, endowments and gifts income, sales and service, business contracts, and other sources.

1. Create a department with confidence in its operations by providing excellent, timely, and reliable customer service.

2. Promote a team atmosphere by encouraging collaboration and cross training.

3. In collaboration with the Finance Director, staff the Anderson Business Office with qualified team members: interview, hire, train, on-board, assign, and review work.

4. Manage, train, and mentor the Fund Management team with the goal of increasing performance and productivity.

5. Assess and identify resources necessary to maintain department performance standards. Analyze goals and objectives, short and long range plans, and operational needs.

6.     Conduct the performance appraisal process for direct reports.

7.     Conduct the performance improvement or disciplinary process for direct reports and raise awareness of issues or concerns to the Finance Director.

8. Delegate work and responsibilities to the Fund Management Team.

9. Provide expert advice and assistance on financial matters.

10. Standardize procedures and develop manuals, and cross-train employees.

11. Instill a facilitative attitude towards faculty, staff, campus partners, and others.

12. In collaboration with the Director of Finance and the CFO, actively participate in audits, investigate and resolve issues as needed, and implement controls required by internal and external auditors.

Fund Management

1. Delegate fund management duties to direct reports and assist the Fund Management team with managing their respective units. Position will manage and approve the work and responsibilities of the fund management team and oversee transactions that are submitted into the system.

2. Oversee all funds and funding streams and ensure that funds are used in a timely manner.

3. Act as the knowledge source for the Fund Management team and serve as primary liaison for Anderson unit managers to resolve issues in reimbursements/vendor payment and create proactive    measures to prevent recurring activity.

4. Manage and oversee gift funds including and not limited to revenue recognition, usage, income projections, and gift fund usage.

5. Analyze expenditure trends, adhere to UC policy and recommend departmental procedures.

6. Meet with Anderson unit managers on a regular basis to review spending activities, budgeting issues and discuss upcoming events and activities that may require proactive planning.

7. Collaborate with the Financial Reporting team to ensure financial activity is recognized appropriately.

8. Contribute to financial reporting as needed.

9. Other duties and special projects as assigned.

Department Security Administrator (DSA)

1. Serve as DSA working closely with CFO and Director of Finance to manage financial system access.

2. Assist the CFO in the annual audit certification by evaluating systems access with the CFO.

3. Manage financial systems and provide options, alternatives, and desired system updates to implement.

4. Establish security protocols as needed.

5. Establish and maintain effective working relationships with key campus units such as Audit and Advisory Services on DSA issues.

6. Actively participate in audits.

7. Other duties and special projects as assigned.
