POSITION SUMMARY

Manage all purchasing and related functions for the operating and sponsored research awards for approximately 32 Principal Investigators (PIs) as well as for sales and service under the Biology Group's purview. Reconcile ledgers, prepare accounting forms, and post service unit recharges.

Purchase Goods and Services:

A1. Purchase goods and services for the department, using the campus BruinBuy system. Using a personal computer, create and post all departmental materials, supplies, travel and equipment orders into the BruinBuy system. Create headers, post all items, coordinate fund balance overrides, process open headers, verify purchase order approval notices. (E)  A2. Manage the PAC (via BruinBuy) queue, responding to Accounts Payable regarding discrepancies. Verify and resolve mismatched invoices and verify open commitments in a prompt and timely manner. (E)  A3. Process travel and entertainment reimbursements for the departments, using the campus Express/Concur System. (E)  A4. Follow up with rejected travel and entertainment expense reports, responding to Travel Accounting regarding discrepancies and/or unallowable expenses in a prompt and timely manner. (E)  A5. Generate reports as needed detailing purchasing activities using data available on ledgers and OFS. (E)  A6. Communicate with vendors by computer, telephone, and fax to place or check on orders. Verify units, pricing and delivery dates. (E)  A7. Follow up on returns, errors in ordering or shipping, and restocking fees. Make P.O. changes to reflect all invoices and credit memos. (E)  A8. Generate travel vouchers, including posting encumbrances to BruinBuy. (E)  A9. Generate non-PAC forms as requested, including recharge order requests (ROR). (E)  A10. Interact frequently and effectively with Principal Investigators and their representatives to resolve purchasing questions and problems. (E)  A11. Advise other departmental staff, campus Purchasing staff and vendors in the ongoing development and use of automated purchasing and E-commerce systems. (E)  A12. Write clear and concise business correspondence to vendors, campus offices, principal investigators and others to explain and resolve issues as well as other purposes. (E)  A13. Establish and manage all department service/maintenance agreements for all equipment (i.e. copiers, faxes, etc.) (E)  A14. Create and actively maintain all standing orders for all departments. (E)

Accounting Support for EEB and CaSB Departments and Stunt Ranch:

B1. Reconcile expenses charged against University ledgers, in support of fund managers. Correct ledger errors as necessary using forms and online tools. (E)  B2. Post recharges to on-line recharge billing system for EEB and CaSB departments and Stunt Ranch. (E)  B3. Advise management and other staff on the continued development of automated financial reporting system (LAPSDB and LSIG) and other database and spreadsheet tools, and related financial matters. (E)
