POSITION SUMMARY

Under the general supervision of the Director and the direct supervision of the Associate Director, the Fund Manager provides analysis and budgetary administration for the Yanai Initiative for Globalizing Japanese Humanities in the UCLA Department of Asian Languages & Cultures (ALC), a program with an endowment of $55 million with an annual operating budget of over $2.5 million in endowment income, contracts and grants, and sales and service funds. The incumbent is responsible for monitoring budgets, approving and processing purchasing-related transactions, completing financial reports, and supporting preparation of fiscal close in coordination with the ALC senior fund manager and CAO. This position provides a variety of professional support services including, but not limited to, fund management and ledger reconciliation, financial reporting and budget analysis, preparation and reporting of contracts and grants budgets, preparation of international agreements, processing of visiting graduate researcher (VGR) appointments and visa applications, and use of all pertinent databases.


Department Summary

The Yanai Initiative for Globalizing Japanese Humanities in the UCLA Department of Asian Languages & Cultures was established in 2014 to realize a sustainable, equitable, globally interconnected future for the Japanese humanities. Its activities include the advancement of scholarship on Japanese literature and the arts; support for literary translation; public programs on performance, film, design, music, art, food, and architecture; and the creation of digital educational content.

Budget Administration

Administer fiscal activities for the unit. Prepare budget projections and reports for program grants and projects. Reconcile expenses and project end-date balances charged against ledgers for program accounts. Identify data on spending patterns and provide re-budgeting information to prevent overdrafts on accounts. Participate in fiscal closing activities with ALC staff following established University requirements. Keep abreast of current University accounting and financial procedures and directives. Identify strategies for negotiating university systems, and assist in elevating end-user concerns.

Financial Processing

Coordinate with Program Assistant and ALC fund manager to support business functions for the unit, including accounting, purchasing, and ledger reconciliation. Serve as primary approver and secondary preparer for the unit’s Program Assistant for University online financial systems (BruinBuy Plus, Purchasing and Accounts Payable, Non-Payroll Expenditure Adjustments, Department Deposit Application System, Travel Express, GLACIER, Payment Works, Transact and Recharge entries). Coordinate transfer of funds and monitor transactions while maintaining records of receipts and transfers.

Contract and Grants Administration

Assist the Director and Associate Director with preparation for grant and gift proposals, and international agreements. Assist Associate Director with all contract and grants activities. Monitor and report on sales of the unit’s items via Transact. Interpret University financial policies and procedures for faculty, visitors, and staff related to reimbursements for supplies, travel and entertainment expenses.

Visiting Scholar and Student Support

Prepare and manage visiting graduate researcher (VGR) applications in GoGrad. Prepare and submit DS-2019 visa applications for VGRs scholars. Coordinate living stipend payments for VGRs. Assist ALC Personnel staff with visiting scholar appointments, including compilation of documentation and compliance with visa and personnel requirements.

Graduate Fellowship Support

Coordinate with ALC Student Affairs Officers to award and disburse annual Yanai Initiative fellowships to UCLA graduate students. Keep track of Yanai Initiative student funding and support budget.
