POSITION SUMMARY

The Associate Architect role leads and manages architectural and interior design projects for UCLA Housing & Hospitality's Project Management team. This role reports to the Architectural Design Director, and is supported by the Architectural Associates. Projects include new construction, additions, renovations, modernizations, and repairs  to student and faculty housing, dining facilities, hotels, and conference centers that are managed by UCLA Housing both on and off campus.

 

Major responsibilities include: (1) identifying facility needs, developing project scope, schedule, and resource options for approved projects, (2) managing and preparing the appropriate design and documentation for the assigned projects, (3) presenting design concepts to the user groups using appropriate presentation and technical drawings, photos, and other visual methods, (4) diligently initiating, coordinating and following through on all consultant activities to ensure design adequately reflects user groups' needs, and (5) supporting construction administration to ensure work is executed in a continuous, prompt manner within the project budget. Act as in-house technical consultant to all H&H user groups with regards to design and construction. This position requires strong administrative, writing, and negotiation skills sufficient to take full responsibility and accountability in managing assigned projects.

ARCHITECTURAL AND INTERIOR DESIGN IMPLEMENTATION

Establish scope of work for projects, interfacing with H&H Department user groups and administrators to determine needs and design concepts. Analyze project programs and develop architectural design, construction details and technical specifications accordingly. After considering all options for project execution, develop an appropriate project methodology. Prepare and present project design options and schedules to user groups. This may include, but is not limited to, colored perspectives, architectural plans, elevations, sections, and material samples. Confirm that drawings and specifications are in compliance with project programs, University standards and applicable codes. Initiate, coordinate and follow through all consultant activities to ensure design adequately reflects user groups' needs. Conduct timely, periodic reviews of design and construction document development. Research methods and technology to comply with codes and environmental impact. Prepare presentation materials using appropriate visual aids, including

samples, color boards, 2-D and/or 3-D CAD drawings, renderings, photographs, and other visual methods. Assist with selection of finishes, furnishings, and fixtures for projects. Assist in the research of alternative finishes, furnishings, and fixture replacements with user groups. Incorporating UC-wide purchasing guidelines and green building requirements. Ensure replacement recommendations meet or exceed industry and H&H durability, financial, and aesthetic standards.

PROJECT MANAGEMENT

Secure the services of University and outside consultants as is required to implement projects. Perform project cost analysis and cost comparison studies to determine the most cost-effective methods. Perform impact studies and work with users to minimize impact to ongoing operations. Perform maintenance studies to ensure that design and products meet long term needs. Ensure all project activity is in accordance with governing department, University policies and procedures, and contract documents. Continuously maintain orderly and complete files for all assigned projects and ensure, prior to project closing, that all pertinent information is contained within the file. Oversee all aspects of the project design and take prompt and appropriate action to ensure all schedules and budgets are met. Effectively manage multiple projects of varying complexity and at different stages of completion. Maintain a master project schedule listing each assigned project with respect to milestone activities relative to a common time line, indicating a reasonable plan of execution to keep all assigned projects proceeding on schedule. Exercise sound time management skills and control of projects. Work proactively to mitigate delays, legal confrontation, budget problems and any additional complication that jeopardizes the project or client confidence. Interpret architectural and engineering solutions to difficult problems for communication to user groups. Continuously and effectively communicate to user groups, Design Director of Housing Project Management, architects, and other relevant individuals pertinent information and/or changes to projects as received or as occurring. Produce work completion list. Review with user groups to ensure that work is completed to all parties satisfaction.

CONSTRUCTION ADMINISTRATION

Support in-house construction managers with construction related activities including attending construction meetings, answering Requests for Information (RFIs) and reviewing submittals. Prepare necessary Addenda and Bulletins. Work with contractors, campus and non-campus agencies, and H&H user groups to stage work implementation. Coordinate agency field approvals, shutdowns, and utility connections with appropriate parties. Anticipate events, evaluate options, and make appropriate modifications to move projects forward in a timely and cost-effective manner. Evaluate progress according to schedules, including impact on ongoing operations. Represent the University in its contractual obligations with contractors, and vendors. Promptly resolve project document related issues. Conduct site visits to review progress of work relative to construction schedule and timely resolution of any discrepancies. Recommend alternate solutions to space and phasing issues. Utilize provisions within the University's agreements/contracts to ensure University's and user groups' best interests are met. Coordinate necessary inspections to ensure compliance with contract documents and code. Identify sub-standard and/or non-complying conditions. Diagnose job site problems , should they occur, and provide technical support to resolve emergencies.
