POSITION SUMMARY | Under the direction of the Assistant Director of Energy Services and Building Controls (ES & BC), the Energy Management Specialist will provide the Department's research, analysis, and administrative support functions. Lead the day-to-day administration of the ES&BC utility metering program. Responsible for research and data analysis; prepare reports; collect and analyze data to support the billing of utilities used on and off campus. Maintain organized documents and electronic materials; assist in developing and implementing administrative processes to improve efficiency and productivity; develop and maintain tracking systems for invoices, projects, schedules, and other related facilities management functions. Create and edit presentations, spreadsheets, and documents; facilitate miscellaneous administrative projects as assigned; and participate in labor relations activities, including grievance procedures and preparation of disciplinary actions. | | | |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Compliance and Data Analysis | 1. Generating work orders using Maximo for the ES & BC department. 2. Responsible for full review and analysis of specialized overtime reports as it pertains to the collective bargaining agreement (SETC). 3. On a biweekly basis prepare overtime reports for the Building Controls Department to be posted as mandated by collective bargaining agreement 4. Maintain and prepare reports and presentations based on research findings and statistical analysis. 5. Perform research and data collection for various projects as assigned by the Director and Assistant Director of ES & BC. 6. Run systems reports and database queries as requested. 7. Assist with the development and implementation of administrative processes to improve efficiency and productivity. 8. Mange regulatory compliance requirements per Federal, State, Local Laws and Regulations. | 55% | Organizational Development | 1. Create and maintain tracking systems for departmental processes and data collection. 2. Create filing systems, maintain the organization of departmental documents and electronic materials. | 10% | Administrative Support | 1. Perform administrative duties in support of the Department of ES & BC. 2. Provide recommendations as it pertains to administrative procedures, compliance, and productivity. 3. Proofread documents and edit existing documentation to ensure accuracy in spelling, punctuation and grammar. This includes, but is not limited to: Word Documents, Excel Spreadsheets, process flowcharts, and PowerPoint slides. 4. Prepare reports, correspondence, memoranda, and other unspecified documents as deemed necessary or as assigned by the Director & Assistant Director of ES & BC. | 30% | Labor Relations | 1. In conjunction with HR Administration South assist with the preparation of disciplinary letters. 2. Analyze and interpret provisions of collective bargaining agreements and University/department policies. 3. Advise management as to potential outcomes and courses of action. 4. Participate in grievance procedures and resolution. 5. Collect and analyze data relevant to management's collective bargaining position. 6.
