POSITION SUMMARY | The Theater Facilities & Operations Manager is responsible for the daily management, maintenance, scheduling, and operational readiness of all departmental classrooms, rehearsal spaces, and production facilities, including audio-visual, lighting, and IT equipment. This role ensures that spaces are clean, safe, fully functional, and optimally utilized to support faculty, students, production staff, and rental users. This role serves as the Building Coordinator and works with Management on building improvements, maintenance and Capital Projects. | | | |

Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Facilities and Space Management | 1. Serve as Building Coordinator for assigned venues and act as the liaison between Facilities and the building occupants. 2. Collaborates with staff to implement safety and emergency preparedness policies and procedures, including maintaining first aid supplies, fire extinguishers, and other safety equipment. 3. Attend facility related meetings regarding regular operation and maintenance. 4. Act as the department representative on special projects. 5. Inspect all classrooms, rehearsal spaces, and production areas daily to ensure cleanliness, functionality, and proper organization. 6. Monitor the condition and usage of production facilities including venues, lobbies, control rooms, dressing rooms, restrooms, and box office areas. | 50% | | 7. Address minor issues directly and communicate with campus facilities management and other unit staff to resolve facilities issues when identified. 8. Manage rehearsal space scheduling, resolve conflicts, and prioritize faculty and student needs. Communicate with faculty, staff, students, and rental users on the status of their space requests. 9. Monitor and respond to requests from the “Theater Schedule” mailbox and fulfill bookings accordingly. 10. Oversee conference room scheduling and grant access to internal units as appropriate, confirming operation of conference room AV equipment when needed. 11. Establish routine maintenance schedules and coordinate off-hour cleaning when needed. 12. Post daily room assignments for classrooms and rehearsal spaces each morning. | 0% | | 13. Maintain and administer a comprehensive equipment inventory database, including specialized theatrical, audio-visual, and IT equipment. 2. Check out equipment to faculty and teaching assistants and ensure timely and complete returns, verifying operation after return. 3. Store chairs, tables, and specialized theatrical and A/V equipment in designated secure locations when not in use. 4. Set up and monitor specialized theatrical and audio-visual equipment to ensure proper usage and care. 5. Coordinate annual equipment inventory with area heads and academic leadership. 6. Research, recommend, and procure equipment and supplies with approval, including specialized theatrical and IT equipment in consultation with production and IT staff. | 10% | Maintenance & Repairs | 1. Develop systems to ensure all equipment and spaces remain in optimal working condition, including specialty requirements for theatrical production. 2. Submit Facilities Service Requests (FSRs) for major repairs with prior approval. Track and coordinate active FSRs to ensure timely resolution. 3. Perform or coordinate minor repairs and maintenance with staff support, including on specialty theatrical and audio-visual equipment. 4. Propose repair and maintenance projects based on ongoing facility assessments, incorporating knowledge and understanding of typical theatrical instruction, production, and rental needs. 5. Serve as the primary contact for maintenance issues and day-to-day facility trouble calls for the Theater department. | 10% | | 6. Work with Management on identifying and coordinating Capital Projects and liaison between Facilities and the Department. 7. Oversee small renovation projects including purchasing supplies and procuring bids. | 0% | Safety & Compliance | 1. Maintain high standards of safety, cleanliness, and sanitation across all spaces based on both campus standards and professional requirements for theatrical instruction and production activity 2. Establish, update, and enforce proper procedures for lifting, storing, and handling furniture, props, scenic elements and specialized theatrical and audio-visual equipment. 3. Ensure all rooms are clean, safe, and in good repair, including performing light cleaning when necessary. Report safety issues to Department leadership. 4. Identify and report safety concerns to management, including security, fire and accident hazards. | 10% | Access & Security | 1. Manage and maintain key inventory and records. Issue keys to all production personnel including Teaching Assistants, Designers, and Stage Managers. Coordinate key distribution and access control in collaboration with the Business Office as needed. 2. Administer OmniLock/code access, including issuing, updating, and revoking access.
