POSITION SUMMARY

Serve as the Programs & Administration Coordinator for the Pourdavoud Institute for the Study of the Iranian World and Yarshater Center for the Study of Iranian Literary Traditions housed in the Division of Humanities. Reporting to the Center Assistant Director, the incumbent is responsible for daily management of the Pourdavoud Institute and Yarshater Center, as well as planning, organizing and day-of executing/coordinating of hosted and sponsored events, including lectures, seminars, symposia, and conferences. Incumbent will also organize all events for the Program of Iranian Studies of the Department of Near Eastern Languages and Cultures, which is also directed by the Institute Director. Incumbent will also manage, in coordination with the Digital Content Designer and Web Developer, the communication and PR (including social media and website updates) of events, programs, and activities. Duties include managing events, processing PAC/Bruin Buy+ orders and travel and entertainment reimbursements, and managing physical and digital resources.

 

Must be willing to work occasional evening and weekend hours.


Department Summary

Established in 2017 as the premier research center for the study of ancient Iran, the mission of the Pourdavoud Institute for the Study of the Iranian World is to engage in transformative research on all aspects of Iranian antiquity, including its reception in the medieval and modern periods, by expanding on the traditional domains of Old Iranian studies and promoting cross-cultural and interdisciplinary scholarship.

 

The Pourdavoud Institute serves as a disciplinary home to stimulating intellectual encounters and exchanges for scholars working on ancient Iran and the ancient world, and contributes to the development of collaborative research projects in such diverse areas as Assyriology, Biblical Studies, Central Asian studies, Classics, Egyptology, ancient History, Indology, Sinology, and the Study of Religion.

Event and Outreach Initiatives

1. Coordinate and manage all event programming and some outreach initiatives for the Pourdavoud Institute and Yarshater Center.

 

2. Coordinate and manage all outreach events for the Iranian Studies Program housed in the Department of Near Eastern Languages and Cultures.

 

3. Create, manage and update calendar for all events and ensure both print and digital publicity for all intended audiences.

 

4. Maintain productive relationships with vendors and coordinate program costs, including air and ground transportation, hotel, catering, facilities, and audio-visual costs.

 

5. Reconcile actual program costs against projected costs; revise and update budgets accordingly.

6. Oversee and manage travel arrangements for speakers; including flights, hotel and ground transportation

 

7. Manage logistical arrangements for all programs.

 

8. Oversee and manage catering, audio-visual, room reservations and payment, security, registration and staffing for all events.

 

9. Serve as the on-site manager for all events; manage volunteers/student workers (will include evening and weekend work on occasion).

1. Monitor provided budgets for operations, programs, events, graduate travel and/or fellowships, book purchases and publications.

 

2. Maintain provided spreadsheets, accounting reports, and input data to maintain accurate and efficient financial records for the Institute and Center events and operations.

 

3. Assist with reconciliation ledgers; balance accounts under the supervision of the Assistant Director and Chief Administrative Officer.

 

4. Maintain internal systems to closely monitor and record Institute and Center income and expenditures.

 

5. Request MTFs, NPEARs and TOFs in coordination with the Senior Fund Manager for the Humanities Admin Group on shared accounts with NELC.

6. Provide fiscal closing and assist with CBIG preparation for the Institute and Center's funds to the Senior Fund Manager.

 

7. Prepare all BruinBuy+ and Travel Concur transactions with oversight from the Assistant Director.

 

8. Oversee supply maintenance, equipment management and inventory, telecommunications and mail services for the Institute and Center.

 

9. Manage and update website for the Institute and Center including content, events, and design in coordination with the Digital Content Design and Web Developer.

 

10. Maintain facilities for the Institute and Center including access to space, renovations, inventory, etc. in Royce Hall.
