POSITION SUMMARY

Under the supervision of the Archive Research and Study Center Officer, the Research & Public Access Coordinator (RPAC) plays a key role in advancing the UCLA Library's mission by facilitating research, teaching, and public engagement through increased access to the Archive's moving image collections.

 

Working within the Archive Research and Study Center (ARSC), the RPAC coordinates efforts that integrate research services with campus-facing programming. The RPAC manages major ARSC initiatives, including the Artist-in-Residence program, the Obsolete Media Workshops, the UCLA/Academy Fellowships, and student research awards—ensuring these programs align with teaching and research priorities across disciplines. The RPAC develops learning tools and online resources, such as Collection Profiles and Library Guides, to promote the use of Archive collections in instruction and scholarship, and creates online modules for integration into the university's course management system.

 

The RPAC also plays a key role in public engagement by helping to shape film and media programs that highlight Library collections and academic work. Responsibilities include researching and securing film and media materials, coordinating loans and permissions from external partners, and ensuring legal and logistical fulfillment. The RPAC frequently represents the Archive at public events, introducing programs, moderating discussions, and cultivating relationships with community and campus partners.

 

In carrying out these responsibilities, the RPAC exercises broad coordination across the Archive and Library. The position collaborates with curators, preservation staff, and communications teams to plan projects, track outreach efforts, and ensure consistency across initiatives. The RPAC manages administrative workflows for key programming and research activities, including budget tracking, vendor payments, and guest travel arrangements. The position also provides guidance to students, interns, and visiting researchers engaged in access or program-related work.

 

Through a combination of subject expertise, specialized technical knowledge, and coordination across multiple functional areas, the RPAC ensures that the Archive's moving image collections are actively used to advance the Library's goals in research, teaching, and public service.

 


Department Summary

UCLA Film & Television Archive, a department of the UCLA Library, collects moving images as works of art and as social and historical documents, restores and preserves moving images for current and future generations, curates collections, programs and events using moving images to advance knowledge, and provides access to moving images for purposes of research, education and enjoyment. 

 

The Archive’s collections consist of over 520,000 holdings dating from the dawn of cinema to the present and cover a broad-spectrum of content from major Hollywood studios films and network television shows to independent productions, documentaries, theatrical newsreels and television newsfilms.

Project Coordination

1. Coordinates large-scale projects, including workshops, residencies, fellowships, & award programs. Liaises with university organizations, non-profits, media arts centers, & film festivals, both domestic & international.

2. Conducts research for public programs, class presentations & project planning, including library & online research, speaking with scholars, filmmakers, & distributors, attending film festivals & screenings, & reviewing relevant periodicals.

3. Develops enhanced research and teaching resources to be used for course curriculum & in support of moving-image scholarship.

4. Cultivates ideas & relationships for future programming endeavors.

Programming, Access, Administration, and Curatorial Support

1. Curates Archive collection titles for online access, managing rights clearances, permissions, and accompanying web content.

2. Assists programmers with film research, screening format coordination, rights and copyright approvals, and public exhibition permissions.

3. Writes and edits program notes, supports catalog production, and provides materials to marketing and outreach teams.

4. Introduces screenings, conducts on-stage interviews, and assists with filmmaker travel, translation, and event logistics.

Community Support

1. Coordinates outreach and communication efforts for public programming in collaboration with Digital Content and Communications staff.

2. Builds and maintains relationships with community and campus organizations to expand audience engagement and partnership opportunities.

3. Serves as the primary contact for community partners, managing collaboration logistics and the distribution of promotional materials.

Records Management and Coordination

1. Prepares & processes fiscal paperwork, including invoices, reimbursements, & purchase orders, & liaises with Business Services.
