POSITION SUMMARY

Under the general supervision of the Civil Rights Office (CRO)'s Director of Intake and Support, the Sr. Intake Specialist provides leadership to a team of Intake Specialists. Along with the Sr. Case Manager, the incumbent coordinates and facilitates the initial response and resolution of reports involving all forms of civil rights violations, including but not limited to discrimination on the basis of race, color, national origin, religion, sex (including gender discrimination, sexual harassment, and sexual violence), disability, age, and other protected characteristics, involving members of the University community. The incumbent reviews incoming reports and responds directly or assigns them to members of the Intake Team, as appropriate. In compliance with University Policy and best practices and under the supervision of the Director of Intake and Support, the incumbent recommends and undertakes steps to address hostile environment, discrimination, harassment, and other civil rights matters across all protected categories, including having informal non-disciplinary conversations with respondents about concerns received by CRO, recommending interim measures and conducting and overseeing Alternative Resolutions as defined by University Policy. The Sr. Intake Specialist's responsibilities include providing day-to-day guidance to the Intake Specialists, training, mentoring and overseeing Alternative Resolutions conducted by Intake Staff and CRO investigators, as well as coordinating and memorializing team and case-assessment meetings (e.g., with the intake team, CRO directors and other university stakeholders), and drafting and finalizing responses to audits and information requests.  The Sr. Intake Specialist initiates and oversees the completion of benchmarking activities, key initiatives, and special projects such as planning and coordinating special meetings and events. The Sr. Intake Specialist assists in identifying, developing and integrating best practices and procedures into the complaint response and resolution process (including Alternative Resolutions). The Sr. Intake Specialist also ensures proper case management of their cases in the CRO Case Management database. They will also assist in tracking trends in reports and recommend appropriate follow up to address trends. The Sr. Intake Specialist is a Campus Security Authority under the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act and a Responsible Employee under the UC Policy on Sexual Violence and Sexual Harassment and the UC Anti-Discrimination Policy.


Department Summary

The Office of Civil Rights is dedicated to promoting a campus environment where all students, staff, faculty, and administrators can learn, work, and thrive free from discrimination, harassment in accordance with Title IX of the Education Amendments of 1972, Title VI and Title VII of the Civil Rights Act of 1964, the Americans with Disabilities Act, Section 504 of the Rehabilitation Act of 1973 and related state law and university policy.

The Civil Rights Office responds to reports of harassment, discrimination, and related retaliation based on protected status including race, color, religion, sex (including pregnancy, sexual orientation, and gender identity). The office provides supportive measures, explains reporting options, and oversees and ensures a fair and equitable process for all parties involved in a complaint.

 

In addition to responding to concerns, the Civil Rights Office plays a key role in prevention and education. We offer training, workshops, and resources to build awareness, reduce risks, and strengthen UCLA’s culture of respect, safety, and accountability.

1. Meets with individuals to discuss and document their reported concerns. During this intake process, the Sr. Intake Specialist also shares information about the Civil rights process, the difference between informal and formal procedures, the prohibition against retaliation, resources and reporting options, and accommodations.

2.Manages the initial response and resolution of complaints involving civil rights matters, including but not limited to discrimination, harassment, and retaliation based on any protected characteristic, involving members of the University community. This includes assigning incoming reports to intake staff in an equitable manner and conducting and overseeing Alternative Resolutions undertaken by Intake Staff and CRO investigators.

3. Ensures appropriate action to fulfill the University’s obligations under all applicable federal and state civil rights laws and University non-discrimination policies.

4. Coordinates civil rights case management team meetings and activities across all protected categories, exercising independent expert judgment in making recommendations to campus partners about resolution of a broad range of civil rights issues. Serves as a senior resource and escalation point for the team of Intake Specialists on complex or sensitive matters.

5. Provides impartial consultation and problem solving regarding all civil rights issues to members of the UCLA community. Provides leadership to the intake and broader CRO team in identifying specific areas for targeted improvement, establishes best practices, and builds and sustains relationships with key campus constituents. Provides guidance, mentorship, and support to the team of Intake Specialists.

6. Liaises with the UC Systemwide Office of Civil Rights relating to information requests, and implementation of system wide recommendations.

7. Develops strategies to strengthen connections with the internal and external campus community through special presentations, meetings, and informational materials on civil rights issues and processes.

8. Identifies current and upcoming campus issues, recommends action items (including remedial measures) to address issues, and provides background and briefing materials to CRO leadership and Case Management Teams for consideration and review.

9. Provides guidance and mentorship to Civil Rights Intake Specialists; manages workload distribution, ensures quality and consistency of intake work product across the team, and supports professional development through feedback and training opportunities.

1. Coordinates within CRO and withother UCLA offices in the development of written procedures,guidelines, and other educational materials, and website content to promote awareness of the function of the Civil rights Office.

5. 6. Writes memos, outcome letters, and case closure notes clearly, articulating the assessment in a format that may be used in legal or administrative proceedings.
