POSITION SUMMARY

The State Authorizations Office is responsible for working with stakeholders to promote compliance with state and foreign authorization regulations governing postsecondary distance education and physical presence rules across relevant jurisdictions, as well as certification requirements. 


Department Summary

UCLA is committed to conducting its affairs ethically and in compliance with applicable state and federal laws and regulations. The UCLA Compliance Office is part of the Office of the Chancellor and provides guidance and oversight of the development, implementation and administration of a compliance program that is consistent with UC policies, procedures, ethical principles and core values.

ʉۢ Promotes institutional compliance with state authorization regulations governing postsecondary distance education and physical presence across relevant U.S. jurisdictions.

ʉۢ Interprets, monitors compliance and makes recommendations to promote compliance with state statutes, and regulatory requirements impacting student services, and institutional activities.

ʉۢ Develops and maintains institutional procedures and controls to ensure ongoing compliance with state authorization requirements.

ʉۢ Coordinates with academic units, online program leadership, and legal counsel to evaluate activities for state authorization implications;

State Authorization Compliance 2

ʉۢ Monitors legislative and regulatory developments and assesses institutional risk, recommending mitigation strategies and institutional responses.

ʉۢ Works with others to complete applications (initial, renewals, exemptions, data reports).

ʉۢ Works with other university departments to obtain engagement, data, and support for compliance activities.

ʉۢ Tracks and reports on curriculum changes, new programs, or other changes to approval agencies.

ʉۢ Maintains accurate institutional records and documentation to support audits, reviews, and regulatory inquiries.

ʉۢ Develops dashboards, reports, and analyses to inform leadership of compliance status, trends, and risk exposure.

ʉۢ Ensures data integrity through coordination with institutional research, IT, registrar, and enrollment systems.

ʉۢ Prepares authorization or compliance reports where needed.

Professional Licensure or Certification Compliance 1

 â€¢ Promotes institutional compliance with federal (34 CFR §668.43 and §668.50) and state regulations governing professional licensure disclosures for programs leading to licensure or certification.

ʉۢ Promotes processes to determine whether academic programs meet educational requirements for licensure in each state and territory.

ʉۢ Collaborates with academic departments, registrars, admissions, and advising units to ensure accurate, timely student disclosures regarding licensure eligibility (including state-by-state determinations and student location tracking).

ʉۢ Develops and maintains centralized tracking systems for licensure determinations, documentation, and disclosures.

ʉۢ Helps respond to regulatory inquiries, audits, and complaints related to licensure compliance.

International Authorization & Compliance

ʉۢ Helps manage compliance related to authorization, approval, or registration requirements for delivering instruction, recruiting, or operating in international jurisdictions, including online education and partnership activities.

ʉۢ Helps coordinates due diligence and compliance review for international programs, agreements, and partnerships in collaboration with global engagement, legal affairs, and academic leadership.

ʉۢ Helps monitor evolving international regulatory environments and assesses implications for institutional activities abroad.

ʉۢ Helps advise leadership on compliance risks related to cross-border education, data sharing, and program delivery.
