POSITION SUMMARY

Job Summary Statement: Under the direction of the Principal Investigator, the Clinical Research Coordinator oversees all clinical, field, and operational aspects of a multi-site firefighter cancer research study. The position integrates human-subjects research coordination, project management, field biospecimen collection, environmental sampling, regular communication with firefighters and department personnel regarding scientific and operational matters, advanced laboratory analysis  ensureing regulatory compliance participant safety, and timely achievement of study objectives.

Responsibilities include participant recruitment and consent, scheduling and facilitating blood draws, coordinating with collaborating laboratories for biomarker analysis, maintaining HIPAA-compliant data systems, leading field research efforts for biospecimen and environmental sampling on or near active fire fronts, coordination with fire department and labor union leadership. The coordinator organizes and maintains the research laboratory and also orders and maintains the inventory of supplies required for field collection and laboratory operations.

 The successful candidate is also expected to possess the skills, knowledge, and abilities necessary to complete successful performance of the duties assigned as well as thorough knowledge of fire department strategy, tactics, culture, and organizational/incident command structure

 

There is clinical work associated with this position. 

 

General and specific supervision is provided by the Principal Investigator. The coordinator is expected to exercise independent judgment in day-to-day study operations and to supervise research assistants, phlebotomists, and student staff.

A.1) Recruit, consent, and schedule firefighter participants for blood draws and follow-up visits.

A.2) Collect and process biospecimens, coordinate phlebotomy services, and ensure proper chain-of-custody and shipping to partner labs.

 A.3) Maintain HIPAA-compliant participant records and electronic case report forms.

A.4) Monitor participant safety and adverse events, reporting to the IRB and PI.

A.5 ) Coordinate logistics of blood draw supplies at enrollment sites

Data and Regulatory Oversight

B.1) Maintain secure REDCap and other study databases

B.2) Ensure compliance with HIPPA, GCP, and UCLA research policies

B.3) Generating and maintaining databases for all digital documents

Laboratory Management

C.1) Coordinate procurement, receipt, and quality inspection of laboratory equipment and field-collection kits; Research pricing, comparison shopping, contacting vendors for quotations, negotiating discounts

 

C.2) Laboratory record keeping including: phlebotomy supplies inventory, biospecimen inventory, equipment manuals, warranties, software, etc.

Laboratory Safety

D.1). Comply with UCLA EH&S safety policies.

D.2)  Perform safety and facility inspection of laboratories to ensure safe and efficient usage of facilities by students.

D.3) Report all accidents in instructional laboratories to Chemical Safety Officer.

D.4) Proper disposal of biohazard wastes in compliance with UCLA EH&S regulation.

Laboratory Research

E.1) Perform sample preparation and aliquoting for downstream biomarker testing, including plasma/serum separation and cryopreservation at appropriate temperatures.

E.2) Conduct analytical assays following established SOPs and quality-control guidelines.

E.3) Maintain detailed laboratory notebooks and electronic records of all experimental procedures, raw data, and instrument performance logs.

E) Ensure all analytical activities meet UCLA Environmental Health & Safety (EH&S), OSHA, and Good Clinical Laboratory Practice (GCLP) standards.

Field Research

F.1) Leverage understanding of fire department and labor union culture and organization/incident command structure to develop strong points of contact across California Fire departments.

F.2) Liaise with study collaborators and hosting departments.

F.32) Supervise and assist phlebotomists and field staff in collecting and processing firefighter biospecimens; oversee specimen labeling, packaging, and refrigerated or frozen transport according to UCLA biosafety standards.

F.43) Coordinate field collections for environmental sampling at active fire incidents, ensuring proper PPE use, equipment calibration, and secure transport of samples for laboratory analysis.
