POSITION SUMMARY

Reporting to the CLICC Instructional Technology Services Coordinator of the Library Analytics, Metrics & Assessment team, the CLICC Services Administrator is responsible for supporting daily CLICC and services in coordination with other Digital Strategies staff. The incumbent must manage and supervise student schedules, support daily operations and manage special projects related to deploying new and enhanced services; provide administrative and logistical support where necessary; work and perform training and supervision in all CLICC spaces and support CLICC services in the Library, including covering for student staff when necessary; leading and managing special projects or assignments that are time sensitive or complex in nature, requiring a high level of independence and initiative in execution and

implementation. This positions serves as a member of the CLICC Operations and CLICC Leads and Schedulers teams; may serve as a liaison to other Library teams.

 

 


Department Summary

The Library Analytics, Metrics and Assessment (LAMA) team is part of the Digital Strategies unit. LAMA supports UCLA Library’s mission by enabling consistent, targeted, data-informed decision-making. The team gathers data & assists leadership to identify opportunities to enhance efficiency, optimize workflows, & strengthen the Library’s ability to deliver effective, high-quality services. LAMA is charged with the following: 1)leveraging technology, metrics & systems for workflow development & enhancement for Library services 2)establishing dashboards & reports that provide metrics for Library leadership for the purpose demonstrating impact & improving services 3)cultivating a culture of project management by providing resources, consultations, templates & best-practices guidelines for the Library 4)sharing resources enabling Library staff to gather data that could be used to inform their work.

 

Campus Library Instructional Computing Commons (CLICC) provides services such as equipment lending and innovative technology support for use in teaching and learning and employs 40 some student staff in delivering these services.

 

The Digital Strategies (DS) unit supports library staff & users by providing local & remote access to library technologies. Supported technology resources include the integrated library system & online catalog; network connectivity including servers, storage, operating system & application services delivery; & programming & application development in support of digital & web-based initiatives. Through collaborative efforts w/all areas of UCLA's libraries, DS assists in the development & delivery of technologies for all types of electronic resources. The staff also work as collaborative partners w/units in other areas of the library, & provide tech support for the major business systems used by the libraries.

1. Provides onsite coordination & support for CLICC service points & day-to-day operations. 2. Anticipates, manages & resolves general onsite & online inquiries/requests from library users. 3.Represents CLICC for fines billing, responds to billing inquiries, & uses discretion to cancel/reduce billing charges. 4. Performs CLICC administrative functions and coordinates activities in procurement, shipping, and facilities. 5. Assists with the maintenance & scheduling/usage of CLICC services and spaces & equipment to ensure continuity of services. 6. Provides support with project management, analysis & recommendations for improvements to CLICC operations & services.

Supervision & Training

1. Daily operations oversight of all CLICC services functions and student supervision: student schedules, proper daily location coverage, quality customer service, lending, lab & classroom services, use of automated lending & reservation systems; In the event of short-staffing, modifies work schedule to ensure appropriate coverage. 2. Assigns, monitors, delegates & reviews work performed by student staff. 3. Assists in the coordination of hiring, onboarding, off-boarding, & training of student staff in shift duties.

Inventory & Asset Tracking for CLICC

1. Oversees the use of all CLICC inventory and assists other Digital Strategies staff for intake, deployment, & disposal. 2. Assists in maintaining organized system of inventory tracking and ensures accuracy & completeness of data and policies in unit's ILS & cloud-based resource, services and asset management systems. 3. Supports standards, guidelines and QA for tracking and database deliverables. 4. Maintains current with administrative and logistics technology, standards, and best practices. 5. Works with other Library units to support standardized logistical and administrative functions.

Communications & Documentation for CLICC Operations

1. Assists in communicating operations & services changes internally including providing project updates. 2. Maintains & updates documentation to reflect changes in workflows, policies and services. 3. Assists in developing intake forms for services. 4. Assists in developing user documentation. 5. Reviews and updates internal staff training and documentation as needed. 6. Coordination with relevant units to maintain an effective work environment.
