POSITION SUMMARY

Under the direction of the Assistant Director of Building Services at UCLA Anderson School of Management, the individual in this role works collaboratively in a close team to support the school's academic mission by ensuring the operational integrity and safety of the facility's spaces. The daily critical responsibilities are primarily active, including completing building checks, setting up equipment and furniture for academic events, reporting items for proactive maintenance, troubleshooting equipment issues, mail and package logging and delivery, managing the equipment inventory, interfacing with vendors and campus Facilities, and supporting departmental operations. It requires ensuring customer experience, safety, and policy compliance, along with being a part of the emergency preparedness and response team. This role is also frequently customer facing, requiring the active response for customer needs including addressing inquiries, issuing keys, and escalating maintenance and security concerns.

 

The individual in this position is expected to perform assigned roles with minimal supervision. The Supervisor will evaluate the progress and effectiveness of systems and tasks performed on a regular basis. Problem solving and efficiency of the area will occur each day. Systems and procedures established with the Facilities and Services Manager will be followed.

Building Services Assistance and Support

 1. Responsible for oversight of light fixture maintenance and reporting and escalation of complex repairs. Maintain inventory of associated equipment. (E) 2. Support the operation of the Building Services department on a regular basis. Answer the phones regarding inquiries for mail services, complex repairs and problems, maintenance requests, event assistance etc. (E) 2. Sign and receive shipments from UPS, DHL, FEDEX, and Campus Mail Services, along with OfficeMax office supplies. (E) 3. Check in all UPS and small packages on the delivery manifest stage, and deliver to customers once a day as needed. Leave notification of delivery attempt and follow up call as required. (E) 4. Assist mail services staff as needed to help sort mail to be delivered throughout the Anderson complex. (E) 5. Assist customers at walk up window with all questions regarding U.S. mail, overnight mail and small packages. (E) 6. Team together with mailroom staff to help train and assist new staff members with the policies and procedures as they apply to the mail and package delivery. (E) 7.Call Campus Work Control to report maintenance issues, repairs, relamps, and all other misc., issues at the pertain to the Anderson Complex. Also follow up to ensure that work control call was completed to a timely manner. (E) 8.Check to see that all classrooms have the proper equipment working and the proper supplies in place to be able to start classes on time on a daily basis. Communicate with the CSO on duty when needed, and note all abnormalities regarding safety and classroom issues. (E) 9. Issues keys to new employees, students, and faculty on an as needed basis. Ensure that all policies and procedures are followed according to Anderson key policies. (E) 10. Act as a member of the Anderson Emergency Preparedness team for all emergency drills as well as emergency situations. Must be trained by the team captain and follow the procedures given by the UCLA Fire Department and the Anderson Complex Manager. (E) 11. Perform daily building checks and complex exterior checks, keeping in mind safety issues as well as maintenance aspect such as lighting, supplies, furniture, signage, and cleanliness. (E) 12. Perform monthly checks of all electrical rooms to clear debris or report issues to Facilities. (E)

Event Assistance and Support

1. Create signs for events at Anderson using graphics programs such as Power Point, and insure conformity of signage throughout the school. (E) 2. Move tables and chairs using a diagram and make independent decisions to ensure that set up is completed correctly and in a timely manner. (E) 3. Communicate with customers via the telephone to answer their questions and concerns regarding event support. Forward any issues or last-minute requests to Associate Director of Scheduling. (E) 4. Post directional signs advertising events, and giving directions to and location of events as required. (E) 5. Must complete the "To Do" list that is compiled by the Anderson School Operations Lead on a daily basis. This requires teamwork with other staffers as well as leadership and independent thought and actions. This daily list is critical to the operations of the school and must be completed accurately and completely every day. (E)

Inventory Control Management

1. Maintain and update Anderson’s space inventory, including tracking room use, occupancy, and functional assignments across all facilities. Record and manage updates in required formats to ensure accuracy and compliance with campus reporting standards. Includes comprehensive year-end annual inventory report to campus. (E)  2. Maintain and administer digital access control systems for assigned spaces, including the addition, modification, and removal of access for faculty, staff, students, and vendors in accordance with established policies and requests. (E) 3. Support periodic audits and reviews related to space and access management. Ensure records are accurate, systems are up to date, and processes align with University guidelines and operational needs. (E)

Customer Service/Misc. Support

1. Issue dollies and other equipment as required. Make sure that customer fills out the check-out sheet with all the proper information. Check in same equipment when it returns to Building Services. (E) 2. Answer all phone lines when the Building Services staff is out of the office on other tasks. This involves being alone in the office which requires multi-tasking at both the Reproduction and the Building Services Department. (E) 3. Issues keys to new employees, students, and faculty on an as needed basis. Issued deposit/refund receipt when money is exchanged. Insure that all policies and procedures are followed according to Anderson key policies. (E) 4. Act as a member of the Anderson Emergency Preparedness team for all emergency drills as well as emergency situations. Must be trained by the team captain and follow the procedures given by the UCLA Fire Department and the Anderson Complex Manager. (E)
