POSITION SUMMARY

Within the UCLA Department of Psychology, the Administrative Program Coordinator provides high-level administrative and programmatic support to the Youth Behavioral Health (YBH) Program and the Child FIRST Laboratory, both led by Professor Bruce Chorpita. This position serves as the primary administrative point of coordination across both initiatives, ensuring efficient operations, effective communication, and strong infrastructure for program and research activities.

The incumbent independently manages complex scheduling, communications, data tracking, reporting support, and program logistics. This role requires strong organizational skills, discretion, initiative, and the ability to manage multiple priorities in a dynamic academic and programmatic environment.

 


Department Summary

The UCLA Department of Psychology is an exceptional department known for its excellence in research, teaching, and service. With a distinguished faculty comprising more than 60 ladder rank members, it is one of the nation's top psychology departments. Its undergraduate program is the largest within the Division of Life Sciences and the UCLA College, with nearly 5,000 undergraduate students enrolled across three majors: Psychology, Psychobiology, and Cognitive Science and two minor programs, Applied Developmental Psychology and Youth Behavioral Health Program. The department also offers a comprehensive Ph.D. program with eight areas of study to approximately 200 enrolled graduate students.

PROGRAM & ADMINISTRATIVE COORDINATION

A1. Executive & Calendar Management. Manage complex calendars for the Principal Investigator across both programs, including prioritization of competing demands. Coordinate meetings with internal and external stakeholders, including faculty, staff, collaborators, and advisory boards.

 

A2. Communications Management. Serve as primary point of contact for external communications, including managing high-volume email correspondence and maintaining continuity with collaborators.  Draft, edit, and manage professional communications on behalf of the PI and programs.

 

A3. Meeting & Event Coordination.  Coordinate and schedule recurring meetings (e.g., lab meetings, program meetings, advisory boards). Provide logistical support for events, including monthly lab gatherings and program-related activities.

 

A4. Document & Information Management.  Organize, maintain, and improve document management systems for both programs. Ensure accessibility and version control of programmatic, research, and curricular materials.

 

A5. Website & Content Management. Maintain and update program and laboratory websites to ensure accurate and current information.

 

A6. Letters of Recommendation.  Manage letters of recommendation requests and related materials.

DATA, REPORTING & PROGRAM SUPPORT

B1. Data & Records Support. Assist with tracking, maintaining, and organizing program and research data (e.g., performance registers, reports). Generate and edit reports to support program operations and evaluation.

 

B2. Learning Management & Systems Support.  Support Learning Management System (LMS) functions related to program tracking, reporting, and participant engagement.

 

B3. Process Improvement & Infrastructure.  Develop and refine administrative processes to improve efficiency across both programs. Support implementation of systems for tracking program performance and outcomes.

LAB & PROGRAM OPERATIONS

C1. Lab Environment & Operations.  Maintain an organized and professional lab environment, including supplies, shared spaces, and visual displays. Coordinate and delegate tasks to research assistants related to lab upkeep and operations.

 

C2. Administrative Support Functions.   Manage onboarding logistics for students and collaborators as needed.
