POSITION SUMMARY

The Implementation Project Coordinator at ELPA21 is an Assessment Design department role designed to support all aspects of test development and delivery, reporting to the Senior Manager of Assessment Design. Primary duties include, but are not limited to, planning, collecting, analyzing, and creating documentation to align with ELPA21's vision; collecting and assembling information to develop project documents, statements of work, and requirements in support of item design, refinement, and test delivery; assisting the Assessment Design team in editing reports and assisting with preliminary analyses of client needs, creating and maintaining descriptive project reports, including test delivery volume and annual user survey data. The incumbent will manage virtual meeting planning and coordination of client attendance, and facilitate communication with clients. The Implementation Project Coordinator will serve as liaison between clients, vendors, and the CRESST Business Office to facilitate recruitment, event requirements, event delivery and outputs, and will coordinate with internal stakeholders to support organizational goals.

 

 


Department Summary

The National Center for Research on Evaluation, Standards, and Student Testing (CRESST) at UCLA is a leader in educational assessment and evaluation. Housed within CRESST, the ELPA21 program focuses on developing tailored assessment frameworks for English learners. This project leverages CRESST's expertise in research and innovation to create assessments that are both scientifically validated and highly effective in measuring language proficiency.

 

 


Key Responsibilities and Essential Functions

Leadership and Client Services Support

A1. Coordinate standing weekly meetings with the Assessment Design department to assist with prioritizing assessment design team tasks, update on work in progress, receive and execute action items and assignments, and resolve questions and issues related to position responsibilities.

A2. Coordinate scheduling of meetings and follow up regarding special requests and schedule-related appointments. Produce and distribute agendas, identify and compile necessary background materials, and record and distribute meeting notes.

A3. Maintain a database with a list of client topics and concerns; route to the relevant team members; track issues to resolution.

A4. Coordinate support for new state-level committee representatives, including orientation to collaborative workspaces and provision of resources.

A5. Execute and coordinate for a variety of rapid responses or special projects that arise out of the manager’s office. Functions may include: a. Research, analyze, and compile data to produce and edit reports, memoranda, and other documents. b. Manage the production and distribution of proposals, reports, letters and other materials and documents, insuring timely development. c. Coordinate special meetings

Operational Support

B1. Coordinate internal meetings; prepare meeting agendas, assist in compiling topics, identify action items, and produce and distribute call notes.

B2. Track execution of action items and coordinate with program teams to support smooth flow of information from Assessment Design and Psychometrics department team members.

B3. Assist in the creation of diagrams, flow charts, infographics, and other communications to support department operations.

B4. Create process documents, “how to” guides, and checklists for common department practices such as meeting planning.

B5. Assist in the dissemination and monitoring of Assessment Design best practices. Document and build knowledge base of deparment policies and processes for reference and training.

Ancillary Materials Production

C1. Assist with creating and maintaining the database of dependencies for all ancillary materials.

C2. Assist with the production of key ancillary materials, adhering to established workflows and identifying areas for efficiency improvements.

C3. Review ancillary material drafts for errors in grammar, content, and formatting.

C4. Organize and file all vendor-related ancillary documentation, ensuring accessibility for reviews.

Staff Support

D1. Contribute to ELPA21 communications media about accomplishments and events from the Assessment Design department, including writing content for social media and drafting presentation slides.

D2. Assist with identifying conference participation opportunities and preparing conference session proposals and presentations.

D3. Contribute skills such as proofreading and video editing for the creation and maintenance of training modules in the Learning Management System (LMS).

D4. Collaborate with internal stakeholders as needed to support all aspects of test development and delivery.
