POSITION SUMMARY

The incumbent will be directed by the Deputy Director, Football Administration and assume oversight and responsibility for the football program's operations, video and equipment staff. The Chief of Staff, Football is responsible for management of assigned areas, serving as a main point of contact for the department operation, and maintaining consistent and equitable policies for football program in regards to other administrative areas and oversee the use of available resources to the program in an equitable, efficient, effective and compliant manner at all times. Primary responsibilities will also focus on the development and well-being of over 115 student-athletes and their growth in all areas as students and leaders in the classroom, fields of competition and in the community.  Other duties include the representation of the football program at external events with the Head Football Coach and others in the campus and wider community and oversight of the programs budget and forecasting.  Furthermore, this position will serve as the department's administrative liaison in many areas in the department, on campus, within the BIG10 and other affiliated conferences, and nationally through the NCAA.

Football Program Organizational Management

 • Coordinate daily, weekly, quarterly, and annual plans along with Head Football Coach, Associate AD/Football that best maximizes student-athlete schedules and times based on NCAA regulations and academic needs.

 • Develop departmental policies and procedures for football staff and student athletes and ensure all staff members are adhering to systems, controls, and policies of the program, department, University, BIG10 and MPSF Conferences, NCAA, and state.

 • Maintain knowledge of NCAA, Conference, campus, University, and state policy and governance regulations to disseminate and execute policies as needed to maintain program compliance and operational efficiencies.

Football Program Organizational Management

 • Constantly review staffing roster for football program and assign duties in the most efficient manager that remains consistent with department and campus policies.

 • Exercise discretionary authority to solve problems in assigned areas of responsibility within department and campus policy to ensure consistency and programmatic excellence is embedded in UCLA football program.

 • Remain up to date with Compliance policies and programs and communicate with appropriate staff/coaches, including Head Football Coach, to confirm policies are met as well as intent.

 • Communicate with the Athletic Director, Associate AD/Football or designee(s) concerning department progress on program progress and student-athlete initiatives.

Football Program Organizational Management

 • Maintain oversight and control of academic progress of all football student athletes. Collaborate with necessary staff, including Academic and Student Services to provide best possible outcome for student academic initiatives and goals.  Address issues and scheduling conflicts as they arise to the benefit of the student-athlete and in line with department policies.

 • Create, Execute and oversee the implementation of programs assisting in the growth and development of student athletes in regards to their personal and academic wellbeing.  Includes but not limited to financial aid, compliance, housing, nutrition, medical, and additional services.

 • Understand staffing plans for recruiting and review plans and expenses to ensure efficient use of time and resources available to program.

Football Program Organizational Management

 • Collaborate with senior department management to enhance programs and processes that create efficiencies throughout the sport and administrative areas and other campus entities as needed.

 • Provide leadership, advice, and assistance to department management, staff, and coaches, and represent the interests of the programs and department on a variety of campus issues.

 • Ensure that football staff working on behalf of UCLA represent the goals of the program and values of the department at all times, including department, university, and NCAA compliance in all ways.

 • Collaborate with various internal department groups that assist with football program to keep all parties up to date using developed software communication tools. Areas include equipment operations, sports medicine, athletic communica

Equipment Operations

 • Provide supervision (injunction with the Asst. AD Equipment Operations) of the overall management and supervision of the equipment and apparel needs for the UCLA FB program.

 • Collaborate with Head FB Coach, Deputy Director, Football Administration, Assistant Athletic Director, Equipment Operations, and department staff to review team requests and needs during championship and non-championship season, recruiting periods, and team related activities and workouts.

 • Research and review new equipment offerings to determine its suitability for the FB program.

 • Collaborate with Head FB Coach, FB Chief of Staff to determine practice and game day staff and team attire in conjunction with shoe and apparel partner.

 • Anticipate seasonal requirements and weather conditions for special equipment needs.

Administrative Area Management

 • Assess and diversify staffing to best utilize resources available, including financial, human, and time to be as efficient as possible.

 • Collaborate with University officials to provide guidance and direction to DIA staff in order to enhance the growth and development of student athletes both on and off the field.

 • Work with staff to develop strategic initiatives and programs that benefit program, coaches, staff and student athletes that are executed in a consistent, efficient, compliant and professional manner.

 • Confer with the Director of Athletics, Head Football Coach, Deputy Director, Football Administration and Sr. Associate AD/Compliance, Executive Sr. Associate AD/Football regarding any actual or potential violation of NCAA rules, and recommend procedures to preclude such violations.

Administrative Area Management

 • Follow up with HR office to confirm that staff & coaching positions are filled accurately & all in-service training & development opportunities are met.

 • Work with Game Ops staff and Head FB Coach, Deputy Dir, Football Admin, Dir of FB Ops, FB Equipment manager to develop travel plans for program away games & logistical operations for home contests.

 • Work jointly with Facilities staff to develop a maintenance plan for Wasserman FB Center and Spaulding Practice field, & home team areas of Rose Bowl to tell an impactful visual story.

 • Collaborate with the Deputy Dir, FB Admini, ESAAD/FB and ESAAD/CFO to develop and review annual budget.

 • In conjunction with Deputy Dir, FB Admin, oversight, execution & reconciliation of budget, including adherence to university & dept procurement guidelines.

 • Assist with oversight and managing the acquisition of “coaching” / internal media content for games and practice of the UCLA Athletics Football Team.

 • Provide indirect oversight of 4FTE.

 • Meet with team representatives and/or coaches to review scheduling and recording of games, practices, recruiting and training recorded materials.
