POSITION SUMMARY | Under the general supervision of the Department of Intercollegiate Athletics (DIA) Head Basketball Coach manage the administration of the women's basketball program and take care of any and all tasks as deemed necessary by the Head Coach. These include, but are not limited to: Scheduling of home and road pre-season games; Planning and arranging all aspects of team travel including developing itineraries, planning meals, selecting hotels, arranging transportation logistics, and managing all travel-related issues while on team trips; Ordering and distributing player and staff equipment, both through Adidas and outside vendors; Hire, train and supervise student mangers; Manage the distribution of tickets for the women's basketball program including accounting for game tickets for coaching staff, student-athletes, high school coaches, recruits, and key alumni and organizing procurement of tickets for all road games for the use of traveling staff and student-athletes. In addition, work with the head coach and develop proposals for facilities upgrades, submit and maintain budgets, and coordinate with DIA Business & Finance for approval. Arrange training table meals for women's basketball program, including scheduling with appropriate vendor or restaurant, coordinate with DIA Nutritionist as appropriate. Manage the video library of women's basketball games, as well as supervise the video coordinator. Act as Women's Basketball's liaison to Alumni, Sports Information and Marketing departments, and work to develop new ways to attract fans, followers, and stay up-to-date on technology. Coordinate community service projects for the team and staff. Manage the Head Coach's calendar and schedule meetings and fund raising opportunities as they arise. Position requires traveling with team and attending all games and, hence, evenings and weekend hours are required. | | | |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Travel & Ticket Administration | 1. Develop a team travel itinerary with Head Coach for each road trip (approximately six or seven annually) including air transportation, ground transportation to and from both home and road airport, accommodations, meal schedule and venues, arrangements for practice facilities and time, and other logistics as necessary. (E) 2. Coordinate all team travel arrangements with on-site travel agent for flight, hotels, ground transportation, and other incidentals. (E) 3. Travel with team and manage all travel arrangements coordinating as necessary with UCLA travel agent, hotel manager, restaurant managers, airline representatives, and other personnel. (E) 4. Utilizing UCLA corporate card, withdraw necessary funds to provide student-athletes and coaches with meal and incidental allowances as permitted by NCAA and University policy. Maintain sufficient documentation as required for reimbursement through UCLA Travel and as required by the NCAA. (E) 5. Review all expenses related to travel for accuracy, address problems with appropriate vendors, account for all expenses and provide for appropriate documentation in order to obtain final approval on expenses. (E) 6. Procure tickets from opponent on all road games, develop a seating plan, assign tickets to student-athletes, staff, parents, key alumni, etc. Turn in paperwork to account for use of tickets. (E) 7. Act as primary contact for parents of all student-athletes while on road trips. As such, the cell number of a department-provided or cell phone is made available to all student-athletes and their parents. (E) 8. As permitted by NCAA, arrange for ticket distribution for student-athletes providing proper controls and deadlines. (E) 9. Troubleshoot all matters related to travel during road games and ticketing on both road and home games. (E) | 25% | Student Services - Housing, Meals, Parking & Financial Aid | 1. Manage the Bruin Card/Training Table program for missed meals during practice, fall and spring workouts. (E) 2. Review and account for all invoices before sending them to DIA Business & Finance for approval. (E) 3. Work with DIA Compliance in the assignment of dormitories during the school year. (E) 4. During winter breaks, arrange for housing and meals for student-athletes in the dormitories or by arranging for housing and meal allowances for student-athletes who elect to live off-campus. Arrange dormitory assignments. (E) 5. Act as liaison with UCLA Housing for all housing-related issues involving student-athletes. (E) 6. Coordinate parking for student-athletes. (E) 7. Liaison with UCLA Financial Aid Office and the student-athlete regarding matters related to financial aid such as the application and disbursement process. (E) | 15% | Scheduling | 1. Working directly with the Head Coach, develop a competitive and cost-efficient game schedule, utilizing RPI, facilities availability, and best possible experience for the student-athlete. (E) 2. Contact, negotiate, and contract for exhibition games within the NCAA rules, and turn in paperwork to insure that those entities are receiving payment in a timely manner. (E) 3. Coordinate with Pauley Pavilion staff and other department coaches to avoid scheduling conflicts, and mediate the needs of other programs with those of Women's Basketball. (E) | 15% | Equipment | 1. Work with equipment room to order gear needed for team and staff for every aspect of the season, from pre-season workouts, practice and game gear to post-season tournaments. (E) 2. Manage and distribute athletic apparel as needed, and work with Adidas and UCLA to handle specific equipment needs for players (ie, injuries, orthotics, etc.). (E) 3. Size incoming freshmen for shoes and apparel and keep and archive of all sizes, etc. (E) 4. Uphold UCLA, NCAA and BIG10 rules regarding apparel, logos, and trademarks. (E) | 15% | External Relations | 1. Act as liaison and nurture ongoing relations with former players, many of whom are now playing professionally, and with key UCLA alumnae. (E) 2. Schedule speaking engagements for Head Coach and increase her visibility in the surrounding community and nationally. (E) 3. Manage special events for former players and staff. (E) 4. Plan end of the year banquet with DIA staff and schedule and host Hospitality Room for five games per season. (E) 5.
