POSITION SUMMARY

As part of UCLA's Alumni Affairs organization, the Office of Student Alumni Programs & Family Engagement (SAPFE) is committed to supporting Bruin alumni, students and families. Through the Parent & Family Association (PFA), the Director of SAPFE is responsible for cultivating lasting relationships with parents, families and campus partners that strengthen University ties throughout their student's college experience and beyond.  This position is part of a dynamic team in a supportive environment that is dedicated to the work we do with our Bruin alumni, students and family. Your knowledge, expertise and abilities will further the UCLA Alumni Association's commitment to build and sustain active engagement with our 660,000+ alumni throughout their lifespan and amplify the impact of our alumni across the university community.

 

As the Director, SAPFE, you will serve as lead for the PFA, promoting student success, retention and graduation by increasing parents' understanding of the University to build a commitment that translates to volunteerism, advocacy and financial support for UCLA. Specific duties of the position include but are not limited to, creating and implementing a strategic plan for the PFA; providing oversight for/executing all school-wide parent communication, including a digital newsletter, a full website, a podcast and social media initiatives; managing the UCLA Parents' Council and parent/family volunteer structure; and leading staff in the planning and implementation of events for parents and families of undergraduate students. In addition, as the Director, you will represent parent and family interests on University committees and task forces, and advise on current and emerging issues related to parent/university relations.  You will develop and maintain liaison relationships with other University staff and students to fulfill the program's goals and will also coordinate assessment of the PFA and report findings, staying current with developments in the field.

1. Collaboratively strategize/implement the programs and initiatives of the Parent and Family.

 

2. Manage and integrate parent programs with other Alumni Affairs efforts, such to region-, affinity- and young alumni-based programs, as well as membership, admissions and career programs.

 

3. Serve as one of the chief strategists for parent affinity building/communication; collaborate to promote parent relations/communications.

 

4. In partnership with other campus offices, develop/implement a strategic plan for engaging/providing resources for first generation, English as a Second Language (ESL), out-of-state and international parents/families. 

 

5. Coordinate/implement signature programs and offerings including Move-in Weekend, Coffee Socials, Bruin Family Insights, Bruin Day, etc.

6. Work collaboratively with events teams to coordinate/plan Bruin Family Weekend.

 

7. Support efforts of Orientation and First-Year Experience programs on parent orientation/communications with parents/families.

 

8. Serve as point of contact with campus partners to support student/family situations of elevated concern.

 

9. Ensure family members receive reliable data re: UCLA policies/procedures, community events, and other aspects of UCLA life that may affect their students.

 

10. Manage updates/student access to the Parent & Family Contact Log database; ensure input of accurate information and sufficient data can be pulled.

 

11. Assess programs, services/communication channels; provide analytics, quarterly reports and recommendations; ensure timely/accurate data input to the EA CRM.

Parent's Council & Volunteer Stewardship

1. Manage the University’s Parents’ Council and volunteer structure for parents and families.

 

2. Plan, market, and implement meetings/events for council members to increase parent satisfaction/involvement with UCLA.

 

3. Develop/execute ongoing trainings that promote the growth/sustainability of the Parents’ Council.

 

4. Staff council/individual members to encourage input, support, and continued engagement in Parents’ Council efforts and overall Alumni Affairs efforts.

 

5. Identify/recruit new Parents’ Council members.

6. Manage/implement parent volunteer recruitment/engagement for campus/regional events including Move-in Weekend, Bruin Family Weekend, Bruin Day, New Bruin Send-offs, etc.

 

7. Serve as point of contact for volunteer engagement and manage PFA volunteer portal (e.g. posting events and volunteer opportunities, managing volunteer access, training volunteers and staff on portal functionality, and communicating/troubleshooting with the platform vendor).

 

8. Collaborate to recruit volunteers and identify prospects.

 

9. Work with campus partners to create/foster opportunities for parent/family volunteerism.

1. Design/implement communications/parent relations strategies to promote parent/family engagement student success, retention and graduation.

 

2. Collaborate with colleagues/campus partners to gather/share relevant information to parents.

 

3. Counsel staff/volunteers in response to questions and comments received from parents, using appropriate communication methods/technology.

 

4. Oversee/execute ongoing development of parent and family website; annually assess content and update site frequently with accurate, timely and useful information.

 

5. Draft/distribute the Bruinlink newsletter quarterly; develop content with colleagues/campus partners; secure contributors for articles/other media; coordinate with Business Development to include sponsor ads.

6. Curate Bruin Family Insights, a monthly informational podcast series based on trending issues or topics for families/parents; develop scripts, recruit guests, market, conduct technical prep, execute programming and edit episodes; utilize feedback and participation rates to continuously refine the series.

 

7. Manage parent helpline and email assistance.

 

8. Coordinate with the Alumni Membership and Marketing teams to develop sustaining donor language for the Parent and Family Association.  Ensure language and materials are current and audience appropriate.

9. Provide content ideas/direction for social media channels; set goals for engagement/growth; review/analyze data, and direct students in assembling quarterly performance reports.

 

10. In tandem with office of New Student & Transition Programs, provide parents with print/digital materials in alignment with program missions; develop/present sessions welcoming families to UCLA and provide guidance on the transition/resources available via SAPFE. 

 

11. Collaboratively promote parent relations/communications. Serve as point-of-contact to represent the Parent & Family Association at meetings, presentations, etc.
