POSITION SUMMARY

The Senior Assistant Director for Compliance, Policies, and Liaisonships provides strategic leadership for first-year and transfer enrollment processes within Undergraduate Admission. The individual is responsible for developing and implementing compliance with federal, state, university and campus rules and regulations, coordinates all communication and admission decisions between Undergraduate Admission and specialty and talent-based schools, e.g. Arts and Architecture, School of Engineering, School of Nursing, School of Music, and Theatre Film and Television.

 

This position oversees all aspects of post-decision inquiries including but not limited to change/drop in grades, missing transcripts, deferral requests, and when needed, rescinding admission decisions. This involves leading and delivery of comprehensive training for staff involved in each process, and requires coordination across multiple units within UA and communication with campus partners to support a timely and consistent process. The Senior Assistant Director must be able to interact with staff, students, and parents with sensitivity and discretion while maintaining confidentiality at all times.

 

As a subject-matter expert in domestic and international credential evaluation, the Senior Assistant Director independently interprets complex admission requirements and determines acceptance of transfer coursework from California Community Colleges, UC Campuses and other 4 year institutions in California, out-of-state institutions, and foreign universities. This individual serves on the Admission Resource Team and assists with the training and certification of first year readers The position supervises professional staff, contributes to campus and UC systemwide committees and policy initiatives, and serves as a key resource to Undergraduate Admission leadership.

Admission Review and Decision Management

1. Manages admission review and decisions related to all specialty and talent-based schools. The individual is responsible for developing timeline, quality control of decisions, and leads committee discussions and ensuring accurate representation to/from specialty school interests and final admission decisions. 2. Coordinate that all decisions are correctly documented and coded, including exceptions and attestations for all specialty and talent-based applicants. (E)

3. Train staff to document processes effectively and according to standards. Implement quality control measures to ensure accuracy. (E)

Process Management of First Year and Transfer Matriculation

1. Manages the change/drop in grades process including training 10-15 staff who are involved throughout the process. Ensures accurate and complete communication with students and counselors to provide a full understanding of the situation. Leads the escalation review committee with Senior UA Leadership, and is responsible for communicating outcomes to the students and campus partners.

2. Manages the missing transcripts review process including coordination between units within UA, training staff on process, and ensuring timely and accurate oversight of the process.

3.  Leads the admission cancellation process by leading the escalation review committee and in conjunction with Senior UA Leadership reviews academic updates and makes determinations on the admission status of students who are in the matriculation process. This involves meticulous and careful work, including documenting status changes, notifying partners and counseling students and families through the process.

4. In conjunction with the Deputy Director, the Senior Assistant Director reviews requests for deferred admission, including tracking student progress, coding decisions, ensuring requirements are met and students are in compliance with admission policies.

5. The Senior Assistant Director is responsible for specialty and talent-based school matriculation issues, including addressing students with academic changes, students with summer provision; collaborates with departmental leaders to ensure students meet requirements for successful matriculation to UCLA.

UC Systemwide Resource for First-Year and Transfer Evaluation

1. Provides leadership in the first-year review process as a member of the resource team, assisting with training and norming of readers, monitoring quality of work performed and communicating with readers about their performance. (E)

2. Interprets system-wide guidelines for undergraduate admission to the University of California in analyzing academic and test records for applicants at all undergraduate levels. Includes records for students applying from high schools, colleges and universities, both domestic and international. (E)

3. Exercises independent judgment in determining which courses fulfill subject and scholarship requirements for admission for first-year and transfer applicants. Predicts eligibility on the basis of incomplete records. Decides whether future consideration for status applied for is warranted, such as referring admission by exception consideration; ranks applications according to established guidelines. (E)

4. Participates in the Preliminary Academic Review and Transfer Selection (PARTS) process for transfer applicants. Evaluates transfer courses and updates applicant GPA. Reviews for fulfillment of UCLA General Education and major requirements. Ranks applications based on established faculty guidelines. Mentors new evaluators during the PARTS review. (E)

5. Provide assistance to Associate Director, Evaluation to a number of key transfer-related functions including: UCLA's PARTS process for transfer admission; UA's role in the UCLA Transfer Alliance Program (TAP); and collaborates with the academic units and campus colleagues in support of transfer admission to UCLA; training and coordination of transfer review. (E)

6. Participates in reading and evaluating first year  applications for admission; analyzes and ranks applications according to guidelines established by the Director and Faculty Committee on Undergraduate Admission. Makes recommendations for improving the process. May serve on focused resource team, such as the evaluation of international applicants. (E)

1. Ensures compliance with federal, state, university and campus rules and regulations regarding the release of confidential information, document collection, and record retention. The individual is responsible for the creation, updating and coordination of all documentation required by University of California system and state audit requirements as related to Undergraduate Admission policies and procedures. 2. Effectively translate and communicate admission procedures and requirements through the creation of policy and procedural guidelines for internal and external use. (E)

3. Create and update documents defining characteristics and criteria of the freshman and transfer applicant pool based on statistical data, analysis, and research. (E)

4. Train staff to document processes effectively and according to standards. (E)

5. Provide writing and editing assistance to the Executive Director and other Undergraduate Admission senior leadership team related to compliance, training, and policies and procedures. (E)

Recruitment

1.In order to generate a diverse and talented applicant pool to meet campus enrollment goals, the Senior Assistant Director assists with high school and community colleges events, admission services, and counselor events. (E)

2. Participate in UCLA admission events like Bruin Days and Open House. (E)

3. May serve on UCOP system-wide committees related to recruitment activities. Participate in development of system-wide programs and workshops, such as UC Counselor Conferences, as needed. (E)
