POSITION SUMMARY | The Senior Assistant Director, Visitor Experience and Events provides strategic leadership and direct participation and supervision for the planning, coordination, and execution of high-impact recruitment and yield programs for prospective undergraduate students. This position oversees both in-person and virtual events designed to support first-year and transfer enrollment goals, including but not limited to Fall Open House, Admitted Student Presentations & Tours, and other events. The Sr Asst Dir is responsible for managing all aspects of event strategy and execution, including budget development, supervision and scheduling of staff, marketing and outreach, logistical coordination (in collaboration with the Administrative Events Coordinator), and post-event analysis. The Sr Asst Dir provides recommendations for improvement and prepares detailed reports to assess outcomes and inform future planning. The Senior Assistant Director provides strategic oversight of UCLA's campus visit programs, including the Bruin Ambassador, Campus Tours, Cub Tours, as well as support for the STOMP Program. This position is responsible for supervising 2 professional staff and over 100 student employees and volunteers who engage with thousands of prospective students and their families each year. The Senior Assistant Director oversees the recruitment, hiring, training, and performance management of staff and student employees, ensuring that staff and ambassadors are well-prepared to deliver accurate, engaging, and inclusive presentations, tours and campus experiences that reflect the university's values and priorities. The Senior Assistant Director establishes and enforces performance standards, develops training curriculum, coordinates regular staff development sessions, and ensures consistent messaging across all ambassador and tour platforms. The position manages day to day logistics, including scheduling, assignments, and daily operational logistics to ensure efficient delivery of services during peak and non-peak periods. By fostering a positive, student-centered culture grounded in professionalism, accountability, and equity, the Senior Assistant Director ensures that the visitor experience contributes meaningfully to UCLA's recruitment and yield goals. Responsible in coordinating and participation from key UCLA offices e.g. Housing/Residential Life, Financial Aid & Scholarships, Alumni Affairs, Engineering, New Student Academic Programs and undergraduate student panelists. Monitor budget and work closely to determine program goals, agenda overview, invitations, communication plan and reservation website needs. (E) 2. Works closely with colleagues in Undergraduate Admission, across UCLA academic and administrative units, with the University of California Office of the President, and peer institutions. (E) 3. Serve as a key resource in partnership with the Associate Director to support the development and annual updates of freshman recruitment presentations and associated communication materials. Provide oversight and input on content and design of recruitment publications (print and digital), ensuring materials are accurate, compelling, and aligned with university messaging and goals. 5. Works with Senior Associate Director, Marketing Communications and Professional Development in planning, advertising and promoting events. (E) 6. Provides leadership to staff during the development processes and supervises staff and activities on days of events. Notifies UCLA campus departments (e.g. School of Nursing, School of the Arts, School of Theater, Film, and TV, EAOP) regarding events. (E) 7. The individual is expected to keep abreast of ways to best engage with students and families, maintain strong relationships (both within UA and the profession), and make suggestions for new programs and events. (E) | 40% | Student Program Supervision and Coordination (Bruin Ambassador Program, Campus Tour Program, Cub Tour Program) | 1. In collaboration with Undergraduate Admission (UA) staff and campus partners, the Senior Assistant Director evaluates tour content, presentation style, incorporates guest feedback, and implements improvements to ensure relevance, accessibility, and impact. This position plays a vital part in shaping guests’ impressions of the university and leads efforts to continuously enhance the campus visit experience for all audiences. The position is responsible to ensure that demands and requests are being addressed promptly, for example instituting ADA accessible routes, providing tours in Spanish and tailoring tours specific to different communities as well as focused on different major disciplines. The Senior Assistant Director mentors staff and student teams to ensure a welcoming, informative, and inclusive visitor experience that reflects UCLA’s values and priorities. (E) 2. In collaboration with the Associate Director, Recruitment this position is responsible for directing campus tours and presentations, including scheduling, presentation assignments, training, daily oversite to ensure a high-quality visitor experience. (E) 3. The Senior Assistant Director provides strategic supervises the Bruin Ambassadors Program (BAP), overseeing a team of approximately 40-60 student employees and the professional staff responsible for managing the day-to-day logistics of the program. Ambassadors are trained student representatives who deliver admission presentations and participate in recruitment activities at assigned local high schools to promote UCLA’s undergraduate opportunities. (E) 4. The Senior Assistant Director also provides guidance and leadership for the Campus Tour Program, a team of approximately 60-90 student employees who are responsible for welcoming and providing campus tours to prospective students in 9th grade and above. Additionally, this position also oversees the Cub Tour Program, which is made up of 40-60 student volunteers whose mission is to provide tours to students in k-8th grade and encouraging they prepare for and pursue a college education. Supervise and provide direction and vision to the program co-supervisors and student coordinators ensuring alignment with Undergraduate Admission’s recruitment goals, promoting UCLA and higher education, fostering a culture of professionalism, accountability, and student development. (E) 6. Oversee the hiring, onboarding, and comprehensive training of new ambassadors/tour guides, with a focus on developing strong public speaking, cultural competency, and knowledge of the UC policies, UCLA admission process, unique programs and opportunities available for prospective students. 7. Monitor staff schedules, recruitment assignments, ensuring coverage across targeted schools, college fairs, conferences and presentations. Oversee campus tour staff scheduling and assignments, ensuring consistent coverage and alignment with recruitment priorities across daily tours, group visits, and special events. (E) 8. Ensure the accuracy and consistency of information delivered by ambassadors/tour guides by regularly updating training materials, scripts, talking points, and reference documents in collaboration with Associate Director. (E) 9. Evaluate individual and program performance, implementing feedback mechanisms, conducting regular assessments, and recommending improvements to enhance program effectiveness and impact. (E) 10. Participate in and guide ongoing training initiatives to support ambassador/tour guide development and ensure high-quality representation of UCLA in the community.
