POSITION SUMMARY

Under the general guidelines of the Senior Assistant Director, Business Operations, performs undergraduate admission functions requiring independent judgment, detailed policy knowledge and responsibility for complex processes that impact undergraduate admission decisions and applicant outcomes for prospective students. Support admission operations through application processing, transcript verification, application evaluation, data integrity, and communication with applicants.

Office of Undergraduate Admission supports UCLA student enrollment goals through recruitment, admission, and yield practices consistent with the mission and values of the university. We seek to recruit and enroll high-achieving, talented students from diverse backgrounds from throughout California, the US, and abroad to both benefit from and contribute to one of the leading research universities in the world.

Admission Operations for Prospective Students

1. Provide support for digital and physical document processing such as student transcripts, credentials, and test scores.

2. Update student record information on UCLA’s Student Information System.

3. Assist with processing and monitoring the various workflows within the digital scanning system to ensure timely processing of all records.

4. Participate in the processing, storage and retrieval of incoming transcripts. Ensure that they are prepared to effectively support Undergraduate Admission's various transcript processing modes.

5. Assist with consolidation and reconciliation of student applicant data.

6. Provide support to test and implement various web applications (i.e. admission decision website, events registration system, academic changes)

7. Support the domestic first-year matriculation process. Review missing records reports, send email notifications, place holds, and update records.

8. Update records in the Slate Customer Relations Management System.

Training and Student Supervision

1. Assist with recruitment, hiring, and onboarding of student workers.

2. Train student workers on data processing procedures (transcripts verification, application data clean up, perform data entry).

3. Monitor student hours and quality of work performance.

Application Review, Support & Advising for Prospective Students

1. Participate in selection process by reading first-year applications.

2. Participate in first-year waitlist and appeal screening reviews.

3. Participate in quality assurance reviews for transfer selection.

4. Review high school transcripts as a part of the Transcript Verification process.

5. Provide advising and support of application workflow and data resolution for prospective students.

6. Advise prospective students and parents on application best practices, timelines and transcript requirements.

Customer Service and Committee Engagement

1. Liaison to the Admission Services Unit to support and resolve e-mail communication for newly admitted students. Monitors response time and quality assurance of responses.

2. Review electronic and paper correspondence from applicants, update application data as appropriate.

3. Provide high quality informational service to applying and newly admitted students by phone and through the unit's e-mail accounts.

4. Ensure that incoming and outgoing corresponding is processed without delay.

5. Independently resolve special applicant inquiries, deferred admission, late application appeals.

6. Assist in events such as Reader Trainings, First Year and Bruin Days, etc.

7. Serve on departmental committees (i.e. student banquet, social media, Slate Read Team).
