POSITION SUMMARY

Provide professional executive-level management for the Men's Basketball Head Coach ("Head Coach") and support the overall operations of the Men's Basketball program. Exercise independent judgment, leadership, and discretion in managing executive priorities, supervising the flow of information, coordinating projects, and overseeing the internal operations of the Head Coach's Office. Facilitate communication to and from the Head Coach's Office, perform analysis of complex issues to support organizational decision-making, and coordinate staff meetings, information sessions, and trainings. Assist with key operational functions of the Men's Basketball program, including team travel coordination, alumni relations, basketball camp administration, and ticketing initiatives, while collaborating with internal and external stakeholders to ensure efficient program operations. All responsibilities will be performed in accordance with the policies and procedures of the Athletics Department, University, state, Conference, and NCAA. The position will serve as a member of the department's Senior Staff and perform other duties and special events as assigned by, and in conjunction with, the Athletics Executive Team and Men's Basketball Sport Administrator(s).

Management Responsibilities for the Head Coach

 • Liaise between all Athletics staff, media, donors, visitors, student-athletes and the Head Coach. Liaise between University staff and the Director, including the President's Office, Chancellor's Office, other Vice Chancellors and deans, staff, faculty, the University Community as well as the general public.

 • Within the Head Coach organizational area, coordinate the activities of a high-level unit; provide comprehensive and analytical support to the Head Coach in their participation on various committees and public appearances.

 • Aid and make recommendations as requested in the creation of presentations, speeches, and documents for public use by the Head Coach and Men’s Basketball Staff.

Management Responsibilities for the Head Coach

 • Support the Head Coach on game days to manage game day posts, recruits and donor engagement.

 • Coordinate and execute confidential, high-level projects, which span the organizational lines for the Head Coach which may involve other major academic and administrative units throughout campus.  Systematize the flow of information, resources management and response control on all action items. This involves establishing and maintaining contact with officials in the University, NCAA, Conference, media, government and others for the collection & exchange of information. Establish system for assigning responsibilities for projects and communications: initial problem identification and provide historical and other background materials. Work with appropriate stakeholders & follow up for timely action.

Management Responsibilities for the Head Coach

 • Research and manage short-term projects and ad hoc assignments requiring immediate attention in the identification of issues, action assignments and completion; including extremely confidential matters.  Project management responsibilities extend beyond identification and delegation to include recommendation of prioritization of projects, establishment of project parameters, and determination of methods of analysis.  Liaise with appropriate persons for study and more complex problems, with final responsibility for project summary and recommendation for action, which may result in revisions to programs policies and procedures.

 • Interview, screen and make recommendations on appointments for the Head Coach and immediate staff as needed.

Management Responsibilities for the Head Coach

 • Manage the internal operations of the Head Coach’s office and the Men’s Basketball suite and provide comprehensive function in management of reporting units. Provide the Head Coach and associates with a daily overview of all current administrative activities and issues under consideration which impact upon their areas of responsibility. Ensure that reports and other communication are timely and complete.  Devise and monitor information systems for timely and effective referral and maintenance of proper feedback channels. Provide status reports on key items assigned to the functional units.  Maintain the necessary files for proper documentation and follow through.

 • Represent the Head Coach and UCLA Men’s Basketball in outside forums at on- and off-campus functions and meetings as needed.

Management Responsibilities for the Head Coach

 • Perform and coordinate a high level of analytical staff assistance requiring in-depth knowledge of the functional areas reporting to the Head Coach. Review correspondence received by the Head Coach and determine appropriate action, delegation and timeliness of response and inform the Head Coach of all relevant items which warrant their attention.  Write and/or draft responses on behalf of the Head Coach to a variety of correspondence from on and off campus, including Conference and NCAA officials, faculty, students, parents, donors, public information requests regarding highly sensitive issues and complaints which require analysis of relevant policies and procedures gathering of all pertinent information and synthesizing all the matter efficiently.

Administrative and Internal Operations

 • Work with other senior level staff in the department to ensure all department programs and policies are efficient and effective for the betterment of the student-athlete experience.

 • Assist with the planning and execution of alumni engagement initiatives, men's basketball camps, and ticketing operations by coordinating communications, registrations, event logistics, and collaboration with Athletics staff, donors, alumni, and external stakeholders.

 • Support as needed in aspects of team travel, including travel itineraries, hotel accommodations, transportation arrangements, meal coordination, and communication with internal and external partners to support a seamless travel experience.

Administrative and Internal Operations

 • Assist with the planning, administration, and on-site execution of the Men's Basketball summer camp program, including coordinating registrations, hiring and onboarding camp staff, managing operational logistics, and working camps to ensure a safe, organized, and high-quality experience for participants and guests.

 • Help coordinate and administer game ticket requests for home and away contests, including managing ticket allocations and distributions for coaches, student-athletes' families, recruits, alumni, donors, and other designated guests while serving as the primary liaison with the Athletics Ticket Office and host institutions.

 • Continually review existing programs and department services to ensure positive outcomes are attained for all.

 • Research and compile relevant department, campus, conference, and NCAA reports for the Head Coach and UCLA Men’s Basketball program.  Serve as point person for all reporting submissions.

 • Collaborate in a variety of ways for the overall success of the department in assignments as provided by the Head Coach, Assistant Coaches, and Men’s Basketball Director of Operations.

Special Projects, Social Media and External Engagement

 • Assist the Men’s Basketball Coaches and Staff and Development Staff / Bruin Varsity Club with matters related to outreach to former student-athletes and external supporters.

 • Work with department staff to execute events designed to aid the profile and interaction of the Men’s basketball program at UCLA.

 • Organize and coordinate the Men’s Basketball New Media group, meet with them weekly to explore ideas for social media, coordinate postings and timing with Athletic Communications, Recruiting and Marketing. Update and post on various Social Media sites such as Facebook, IG and Twitter as needed.

 • Keep current with the various Social Media sites/trends and explore creative uses for keeping recruits, donors, alumni and our fan base connected to the Men’s Basketball program.

 • Work with Head Coach and Men’s Basketball Staff to interact with alumni, fans and supporters of program, including Campus, Conference and University staff as needed.

 • Aid department in addressing Head Coach calendar and accessibility, utilizing her time as efficiently as possible when available for non-coaching activities.

 • Collaborate with external department staff and stakeholders, including corporate partners, to provide accessibility to Head Coach, as needed.

 • Have strong understanding of Head Coach and program needs and desires to show in best possible situations and scenarios for public appearances in collaboration with Senior Staff and Sport Supervisor.

Staff Management & Organization

 • Provide leadership and oversight for coordination of department meetings, including All Staff meetings, Coaches meetings, and other meetings as assigned.  Assist with putting together the meeting agenda, confirming speakers, and meals.

 • Collaborate with Staff to understand their schedules should there be a need to reach them in off hours or when they are out of the office.

 • Hire, train and supervise student office interns to help with making sure the WBB suite runs smoothly and assist this position and the Men’s Basketball Head Coach and Staff as needed. Coordinate their schedules, supervise their work and utilize them in the most efficient way possible.
